Summary:
- Our client is a leading food manufacturing company dedicated to delivering high-quality products globally. We are seeking an experienced Import Shipping Manager to oversee and manage the sea freight operations.This role will focus on coordinating shipping schedules, optimizing costs, and managing risks related to international logistics.
Key Responsibilities:
- Develop and implement import strategies and procedures
- Co-ordinate with suppliers and third party logistics to ensure smooth import operations
- Ensuring third party logistics clear and unstuff the import containers on time
- Ensuring third party logistics provide unstuffing report on time
- Monitor, track and follow up shipping schedules with suppliers to ensure timely and accurate delivery. Update the shipping schedules in Navision
- Send updated import schedule report to management and R&D team weekly
- Update management and R&D team whenever there is a revise in vessel schedule or new shipping info
- Monitor and ensure supplier provide the shipping documents on time for customs clearance
- Transfer of Raw Material & Finish Product
- To lead and manage end-to-end operational activities for transfer of raw material/finished product between warehouse and production plant.
- Monitor and ensure claim for damage bag during transfer being submitted to insurance company or 3PL
- Monitor and ensure sample bag being transfer promptly to 5PW for sampling after unstuffing
- Monitor and ensure transfer activities being updated to Navision on time
- Import shipment plan to plan monthly import shipment activities and warehouse storage allocation to drive cost saving and warehouse optimization. Ensure that warehouse is fully utilised before engaging 5PW
- Prepare inventory aging and follow up on aged stocks, torn and sample stocks.
- Prepare monthly inventory forecast report
Regulatory compliance
- Ensure that all import activities comply with applicable laws and regulations, company’s Standard Operating Procedures and ISO Standards.
- Stay updated on changes on the applicable laws and regulations.
Logistics Management
- Oversee the transportation of goods from the point of origin to the destination
- Monitor and track shipments to ensure timely and accurate delivery
Documentation and Record‐Keeping
- Maintain accurate records of all import transactions and documentation.
- Ensure proper documentation is prepared for customs and regulatory agencies.
- Handle and resolve any discrepancies or issues related to shipment documentation.
Cost management
- Develop and manage the budget for import shipping activities.
- Analyse shipping costs and identify opportunities for cost reduction and efficiency improvements.
- Monitor and report on shipping expenses and performance
- Verification of invoices from 3PL that related to import shipment, storage & transfer activities
Problem Resolution:
- Address and resolve any issues related to shipments, such as delays, damages, or discrepancies
- To ensure promptly feedback receive from 3PL regarding any quality issue and/or shipment issue to the suppliers
- To submit claim and/or feedback quality issue and/or shipment issue to supplier
- Act as a liaison between various parties involved in the import process to resolve conflicts or issues.
Team Management:
- Supervise and provide guidance to the import shipping team.
- Train team members on best practices, regulations, and procedures.
- Conduct performance evaluations and manage team development. Address and resolve any issues related to shipments, such as delays, damages, or discrepancies.
Technology and Systems Management:
- Utilize import management software and systems to track shipments and manage documentation.
- Stay informed about technological advancements and implement new systems or tools to improve efficiency.
Risk Management:
- Identify and assess potential risks related to the import process.
- Develop and implement risk mitigation strategies to minimize disruptions.
Qualifications:
- Bachelor’s Degree or diploma in Purchasing/Supply Chain / Logistics or equivalent related qualification
- Minimum 7 years of relevant managerial experience in manufacturing or relevant industry
- Proficient in Microsoft office applications and other relevant software (eg. Navision)
- Strong written and verbal communication skills
- Able to multi-task in a fast-paced environment
- A dynamic team leader with a positive working attitude. Able to organize and lead a small team to attain business excellence
