You will assist with end-to-end supply chain management and logistics operations (e.g. procurement, order management, shipping and sales support activities for Oceania and Asia.

Key Responsibilities:

1. Sales Support Function (Check model , qty, estimated lead time ) which will applicable during the early stage (Before PO received) and after PO is received
2. Make booking with factory ,Coordinate with 3rd party Supplier, Factory on the estimated lead time and revert to customers.
3. For 3rd party supplier- Advidia Need to check if all model and qty has enough stock, otherwise will need to email back to customer to revise as per MOQ.
4. Processing of sales order and purchase orders in SAP HANA system
5. Handling local deliveries (demo samples, commercial stock) in Singapore’s office
6. Liaise with finance for advance payment shipment
7. Ensuring export shipments/local deliveries are according to destination custom requirements and global trade compliance.
8. Manage full spectrum of shipping documentation, invoice, packing list, B/L , for direct drop shipment from China, Japan and 3rd party Supplier for APAC region
9. Close follow-up with suppliers, and factories on order and shipment status.
10. Repack of cargo in the event of carton damaged
11. Uploading of Serial Number for 3rd party Suppliers
12. Weekly risk report to be submitted to the management
13. Involvement in Process Improvement and bimonthly SCM meeting
14. Provide backup support in the event if SG or Oceania team is absent
15. Perform any other ad-hoc duties as assigned

Requirements:

• Minimum qualification preferably in business/ marketing, supply chain/logistic operations.

What you will do:

As a Supply Chain Specialist, you will be reports to the Logistics & Distribution Program Management/OPEX Leader, APAC. The Supply Chain Manager is responsible for managing the entire supply chain process for the Company. This includes material planning for all our projects, including forecasting inventory needs, procurement, inventory management, overseeing logistics and ensuring timely deliveries to our project sites. You will also be responsible for managing vendor relationships including warehouse operator, and to ensure that our projects have the necessary materials available on time, within budget and in compliance with quality standards.

Responsibilities

1. Vendor qualification, relationships and negotiation

• Source & procure materials, equipment & sub-contractor services that comply with Energetix’s and industry’s codes, specifications and quality standards.
• Coordinate and collaborate with internal stakeholders to carry out due diligence to qualify materials, equipment & sub-contractor services to be included on Energetix’s approved vendor list (AVL).
• Negotiate favourable contract terms and conditions including Master Supply Agreements for major and fast-moving materials.
• Maintain database of pricing and lead times for all equipment on the AVL.

2. Material & resource planning

• Perform demand and supply matching on a fortnightly basis or as needed to ensure materials needed for pipeline and adhoc projects are covered, while keeping holding costs low.
• Coordinate with Admin & Accounts Payable to issue POs and process invoices on a timely basis to cover supply gaps.
• Track and ensure materials are delivered on time and readily available when needed.

3. Project-level management

4. Warehousing & logistics

• Coordinate with external warehouse staff to ensure proper storage and inventory updates

Job Description

Purchasing

• Check and process Purchase Order (PO) based on sales order.

• Track orders and ensure timely delivery of goods, receiving, and invoicing.

• Checking supplier’s invoices with supporting documents such as PO & Delivery Orders (DO).

• Assist and support to spear head on all cost saving, reduction program and activities.

• Liaise and negotiate with vendors on required products/ services for the best price and payment terms.

• Compare and evaluate pricing proposals from vendors.

• Responsible for verification of discrepancies supplier’s invoice & DO with PO

• Follow up & ensure Credit Note (CN) has been received for goods returned or over billed.

Inventory

• Work closely with warehouse team on maintaining the stock list – identify the stocks and SB items

Delivery to customer
• Monitor deliveries and returns from the warehouse and delivery teams.
• Ensure that all the DO are scanned in the shared drives by the warehouse team.
• Verify the invoices (delivery team) charges before submitting to the finance team to process.

Pricing and Promotions
• Follow the price calculation, and update brand retail selling price based on price list.
• Review the brand price factor and cost price yearly.
• Work with the store manager and marketing teams on product launch, brand trainings and sales mechanics.
