Job Description & Responsibilities:

We are seeking a highly organized and proactive Administrative Assistant to join our team. The ideal candidate will provide administrative support to ensure efficient operation of the office and deliver high-quality assistance to management and employees.

Key Responsibilities:

• Office Management:
  • Perform general office tasks such as filing documents, organizing reports, and creating presentations.
  • Reorder office supplies and maintain an organized work environment.
  • Assist in setting up for meetings and ensuring all equipment and materials are ready.
• Email Support:
  • Monitor email inbox regularly throughout the day.
  • Respond to incoming emails in a timely and professional manner.
  • Ensure emails are categorized and prioritized based on urgency.
  • Forward or escalate emails to appropriate team members when necessary
  • General Administrative Support:
  • Provide support for various tasks and projects to ensure smooth office operations.
  • Handle confidential and sensitive information with discretion.
  • Regularly check the system or emails for incoming forms and invoices.
• Download forms and invoices from various sources.
• Ensure all documents are properly saved, categorized, organized, and sent to the concern department.
• Scheduling and Calendar Management:
  • Provide real-time scheduling support, including booking appointments and preventing scheduling conflicts.
  • Coordinate meetings, including managing attendee invitations and necessary follow-ups.
• Communication Management:
  • Answer and screen phone calls, and direct them to the appropriate person or department.
  • Greet and assist visitors professionally, ensuring a positive experience.
  • Maintain professional communication through phone, email, and mail.
• Technical Support:
  • Use computers and software to generate reports, transcribe minutes from meetings, and create presentations.
  • Conduct research when required to support the team or specific projects.
• Customer/Visitor Interaction:
  • Greet and welcome visitors, ensuring they feel comfortable and are directed appropriately.
  • Anticipate the needs of colleagues and visitors to ensure a seamless experience.

Job Requirements:

• Experience: Proven experience as an Administrative Assistant or similar role.
• Skills:
  • Proficiency in MS Office (Word, Excel, PowerPoint) and other office software.
  • Strong written and verbal communication skills.
  • Excellent organizational skills and attention to detail.
  • Ability to prioritize tasks and manage time effectively.
  • Strong problem-solving abilities and a proactive approach.
• Education: High school diploma or equivalent (Associate's degree preferred).
• Other: Professional demeanor, with a positive attitude and customer service mindset.

Working Hours: 9:00 am to 2:30 pm with 30 Minutes Break

Responsibilities

Assist in preparation of the PTW office container, preparation of padlocks and LOTO tags.

· Assist in ensuring that isolations at site and all required documents which are stated on the permit are in place prior to issuance of permit.

· Assist in maintaining, updating and archiving of training records, assessment results and PTW/LOTO/LUN documents.

· Assist in configuration of e-PTW.

· Attends the daily VSCC meeting. Ensures that ongoing commissioning activities are informed to VSCC chairman and daily commissioning permits records are updated at the VSCC meeting room.

· Ensure Daily endorsement of required Yard permits.

· Carry out site audit to ensure PTW system procedures are adhered.

· Participation in HSE walk-about as required.

· Administer the Permit to Work office

· Assist in the training of e-PTW system to site team.

· Assist in managing and maintaining of LOTO padlocks and keys in the keys cabinets and Lock Out Boxes (LOB).

Assist in preparation of daily PTW & related reports.

Shall comply with company / yard safety procedures and safe working practices.

· Familiar with Permit –To-Work system and Lock-Out Tag-Out procedures.

· Ensure that commissioning testing activities are conducted safely and complies with the site PTW and safety regulations and procedures.

Preparation of RA and participation in RA meetings as required

Appropriate standard of supervisory, technical, and professional knowledge as defined by competences.

Practical familiarity with standard 'Office' software package. Operation and use of Internet and electronic mail system.

Familiarity with Maintenance Management System packages AMOS/Maximo etc.

As Supervisor will exhibit good, supervisory and safety behaviours and will specifically ensure that all aspects of Engine Room operation and maintenance are carried out safely, through careful delegation and control of responsibilities.

As Supervisor is specifically responsible for the operation and maintenance of Engine Room equipment and Process utility systems controlled by the Engine Room and also for the guidance and familiarisation of those under his immediate supervision. Mechanical Technicians, Visitors, Vendor Technicians, and sub contractors

Typical Responsibilities & Standards

Engine Room Equipment and Systems and Utilities Operation and Maintenance

Prepare Engine Room and Utility Systems for start-up.

Start and Monitor Engine Room and Utility Systems.

Prepare and Shutdown Engine Room and Utility Systems.

Isolate and reinstate Engine Room and Utility Systems for Maintenance.

Perform Maintenance activities (For UMS Units)

Perform scheduled and unplanned maintenance safely and effectively under PTW Risk Assessment and Management System procedures.

Ensure work is correctly and accurately identified, recorded and communicated.
