Liaise with maintenance team and to ensure monthly service report is in order and to invoice the clients promptly.
Maintain proper records and filing of service reports and invoices.
Recruitment
· Coordinating with local and Malaysia newspapers and employment agencies in placing recruitment advertisement
· Assisting the management in short-listing candidates for interview
· Coordinating interview arrangement
· Preparation of employment letter and company’s policy for acceptance
· Applying Work Permit or S Pass for new foreign staff
· Performing new hire data entry in payroll system
Staff Medical/Insurance
· Liasing with respective insurance agents on renewing WIC insurance and Group Medical insurance.
· Processing of staff’s work injury compensation procedures (including MOM i-Report)
· Medical Claims Management
· Work Pass Medical Checkup
Foreign Work Permit/ S Passes Matters
· Administer and process renewal of foreign staff’s work permit or S Pass or cancellation of work pass
· Administer and renew staff’s Safety Orientation Course Certificate when nearing expiry date
· Arranging of foreign workers in staying at workers’ dormitories
· Workers’ repatriation including air-ticket arrangement
· Foreign workers’ quota management
Employee Matters
· Preparation of confirmation letters, warning letters and other HR related correspondences as and when required
· Manage and administer staff records in payroll system and personal files
· Manage and administer staff’s leave records in Time Management System
· Staff Pass management
· Planning and arranging on staff recreation (annual event)
· Manage and administer company’s properties e.g. mobile phones, laptops, computers, etc
Workers Payroll
· Processing workers bi-monthly payroll
· Submission of tax clearance for foreign workers (IR21), foreign workers levy waiver claim, maternity claim and childcare claim
· Processing of overseas workers’ monthly salaries and allowances
· Attending to and handle payroll related enquiries
Training
· Assist in sending staff for course training as and when required by the management
· Processing of SDF claim and absentee payroll claim
Miscellaneous
· Other ad-hoc administrative duties as and when required by the management
