Seeking for a dyanmic and resourceful Executive Officer/Assistant to work alongside with the Office Manager, you will provide strong admin executive support to the Directors, including their calendar management, coordinating various meetings across different time zones, manage various booking venues, and help to co-ordinate logistics matters.

Job Details:

• Organize travel arrangements for the Directors and senior management, including visa applications, health declarations, flight bookings, accommodations, and transport.
• Process company expense payments and claims.
• Greet walk in arranged visitors, prepare F&B refreshments, and provide support as needed.
• Handle correspondence, mail, and phone calls, ensuring prompt responses and appropriate redirection.
• Oversee office administration, including filing systems, leave records, vendor management, and building access arrangements.
• Assist with logistical arrangements, including travel, facilitation and special events planning and execution.
• Perform other administrative and ad-hoc tasks as required.

Job Requisites:

• Min 2 years relevant office/secretarial related/projects & events related experience
• Experience in handling various projects & office related events showcasing multi-tasking skills sets will be good to have.
• Proficient in MS Office applications, including Teams, Zoom, and Dropbox.

Job Description

Responsibilities:

• Handle day-to-day operational tasks related to the Employee Life Cycle to ensure operational excellence.
• Manage work pass administration, including applications, renewals, and cancellations, ensuring smooth and timely processing.
• Address employee inquiries via ServiceNow, meeting KPIs, SLAs, and regulatory compliance requirements.
• Ensure compliance with statutory and regulatory reporting, including submissions to MOM and other government bodies.

Requirements:

• Proficiency in HR systems like Oracle PeopleSoft, ServiceNow, or similar databases.
• Skilled in MS Word, Excel, and PowerPoint, with the ability to work independently or collaboratively.

Job Description:

• Oversee the financial and statutory accounting functions for the assigned entity.
• Prepare monthly financial reports, including asset accounting, journal entries, account reconciliations, and year-end financial statements.
• Analyze Work in Progress (WIP) and provide recommendations on project profitability and cost optimization.
• Calculate key financial indicators and conduct trend analyses of financial data.
