Position Overview
We are seeking a meticulous and well-organized Administrative Executive to join our Singapore office. This role combines financial operations support with broader administrative responsibilities, requiring someone who can maintain precise attention to detail while managing multiple priorities effectively.
The position reports to the Finance Manager and offers opportunities for growth within our expanding organization.
Primary Responsibilities
Financial Operations
- Managing accounts receivable processes and payment tracking
- Processing accounts payable and ensuring timely vendor payments
- Supporting month-end closing procedures
- Maintaining accurate financial records and documentation
- Processing expense claims and managing petty cash
- Assisting with bank reconciliations
- Preparing standard financial reports
- Supporting audit requirements
Administrative Management
- Coordinating meetings and managing executive calendars
- Organizing company events and customer visits
- Managing office supplies and vendor relationships
- Maintaining efficient filing systems and records
- Arranging business travel and accommodation
- Supporting document preparation and presentation materials
- Handling general correspondence and communications
- Assisting with various departmental administrative needs
Required Qualifications
Education and Experience
- Diploma/Degree in any relevant area
- Minimum 3 years of experience in a similar role
- Demonstrated proficiency in accounting processes and office administration
- Experience with ERP systems and accounting software
- Strong understanding of accounting requirements and compliance
- Proven track record in maintaining accurate financial records
Technical Competencies
- Advanced proficiency in Microsoft Office Suite, particularly Excel
- Experience with accounting software and financial reporting systems
- Strong documentation and record-keeping abilities
- Familiarity with office management systems and procedures
