Job Purpose:
The Admin Executive supports the General Manager’s (GM) office and will be responsible for handling administrative tasks, coordinate meetings, liaise with external parties to handling confidential information. This role requires a proactive and adaptable individual who can anticipate the GM’s needs and ensure a seamless workflow.
Principal Accountabilities:
1. Provide administrative support to the GM and management team
2. Manage travel arrangements for the team, with a focus on GM’s travel arrangements at the start
3. Manage GM’s calendar and appointments, organizing and coordinating internal and external meetings, and participating in business activities and corporate events as necessary
4. Prepare meeting agenda, materials and collaterals
5. Prepare and distribute correspondence, reports, and documents as needed
6. Handle phone calls and general queries from external parties
7. Handle expense claim management for GM
8. Remind the GM of important tasks and deadlines
9. Other duties as assigned by Management
Education:
- Min. GCE A-Levels with good General Paper/ English Language grades or Diploma in Business or related field
Experience:
- Minimum of 2 years of relevant working experience
- Proficiency in MS Office Suite, SAP or other ERP systems preferred
- Experienced with flight, hotel, transport bookings and visa applications
- Experienced with calendar management and/or event organization
- Experienced communicating with C-Suite Level counterparts
Other Essential Attributes:
