The Executive Administrator (EA) supports the Management team and will be responsible for handling administrative tasks, expense claims, travel arrangements, coordinate meetings and liaise with external parties. This role requires a proactive and adaptable individual can anticipate the Management team needs and ensure a seamless workflow while handling confidential information. The position reports to the CEO.
Job Accountabilties
- Provide administrative support to the CEO and Management team
- Manage travel arrangements for the Management Team
- Manage CEO’s calendar and appointments, organizing and coordinating internal and external meetings, and participating in business activities and corporate events as necessary
- Prepare meeting agenda, materials and collaterals
- Prepare and distribute correspondence, reports, and documents as needed
- Handle phone calls and general queries from external parties
- Handle expense claim management for CEO and management team as required
- Remind the GM of important tasks and deadlines
- Other duties as assigned by manager
Education & Experience
- Min. GCE A-Levels with good General Paper/ English Language grades; or Diploma in Business or related field
- Minimum of 5 years of relevant working experience
- Proficiency in MS Office Suite, SAP or other ERP systems preferred
- Experienced with flight, hotel, transport bookings and visa applications
- Experienced with calendar management and/or event organization
Other Essential Attributes
- Proficient in both English and Mandarin (role has to deal with Chinese counterparts)
- Strong organizational and time management abilities, with exceptional attention to detail
- Mature individual who is able to complete tasks independently with minimal supervision
- Exercise discretion, high level of integrity and confidentiality
- Team player with positive and good working attitude
