The Executive Administrator (EA) supports the Management team and will be responsible for handling administrative tasks, expense claims, travel arrangements, coordinate meetings and liaise with external parties. This role requires a proactive and adaptable individual can anticipate the Management team needs and ensure a seamless workflow while handling confidential information. The position reports to the CEO.

Job Accountabilties

1. Provide administrative support to the CEO and Management team
2. Manage travel arrangements for the Management Team
3. Manage CEO’s calendar and appointments, organizing and coordinating internal and external meetings, and participating in business activities and corporate events as necessary
4. Prepare meeting agenda, materials and collaterals
5. Prepare and distribute correspondence, reports, and documents as needed
6. Handle phone calls and general queries from external parties
7. Handle expense claim management for CEO and management team as required
8. Remind the GM of important tasks and deadlines
9. Other duties as assigned by manager

Education & Experience

• Min. GCE A-Levels with good General Paper/ English Language grades; or Diploma in Business or related field
• Minimum of 5 years of relevant working experience
• Proficiency in MS Office Suite, SAP or other ERP systems preferred
• Experienced with flight, hotel, transport bookings and visa applications
• Experienced with calendar management and/or event organization

• Proficient in both English and Mandarin (role has to deal with Chinese counterparts)
• Strong organizational and time management abilities, with exceptional attention to detail
• Mature individual who is able to complete tasks independently with minimal supervision

Job Purpose

The Accounts Executive reports to the Finance Manager. He does work that is about accounts receivable, accounts payable, tax filing, data compilation, billing, payroll and other accounting tasks. He assists the Finance Manager with monthly and yearly finalisation of accounts. He prepares the trial balance, basic financial statements and simple consolidated financial statements. He may be involved in finance-related projects and systems testing.

Principal Accountabilities

1. Perform a full range of coordination and administrative duties including data entry, document filing, invoice verification and preparation of payment
2. Perform accurate data entry for both Account Receivable (AR) and Account Payable (AP) including checking and validation.
3. Conduct monthly reconciliation of bank accounts
4. Assist in GST filing preparation
5. Participate in annual audits & tax review
6. Any other ad hoc duties assigned by Manager

Education & Experience

• Min. Diploma in Finance/ Accountancy
• Minimum 2 years of relevant working experience in Accounting/Accountancy
• Experience in SAP and XERO systems with good MS Excel skills essential
• Experience with bank upload files and bank reconciliation a must
