To support us in this high priority function, we are looking for a talented and experienced professional to be based in our Singapore HQ to take on the role of Operations Executive. The Operations Executive is responsible for controlling export / import documentation. He/she will liaise closely with all traders, the export team, Origination desks, Shipping desk, Finance and Back-Office as required.

DUTIES & RESPONSIBILITIES

Main Duties:

• Able to prepare full set of shipping documents in accordance with Letters of Credit and contractual requirements.
• Perform documents checking in accordance with the latest ICC standard rules and guidelines and international standard banking practices, etc.
• Capability to handle shipments by bulk vessels and container.
• Ensuring shipping documents including Letters of Credit are set up/received on time as per contracts and in order for negotiation.
• Input transactions into system and spreadsheet on a timely and accurate basis.
• Monitor payables and receivables to minimize/avoid overdue and ensure overdue payment are followed promptly.
• Monitor/track shipments and resolve issues when necessary.
• As required, liaise with exporters regarding contracts and ensure that their shipments are executed in a timely manner.
• Confirm all shipments are on schedule to meet deadlines for vessels.
• Ensure all documentation accurately matches the sales contracts and that the importing country requirements are met e.g., fumigation/labelling of bags.
• Ensure all import permits, if required, are valid and received before shipment.
• Liaise with shipping team to arrange bookings and Bill of Ladings.
• Troubleshoot with team and other traders when required.
• Ensure that all job tasks assigned are duly completed within the required time frame or within the specific cut-off time for the transactions and in accordance with the relevant procedure manual, rules and regulations.
• Responsible for smooth and efficient execution of all daily tasks.
• To perform other job duties as and when assigned.

SKILLS & EXPERIENCE

Experience:

Essential: Minimum of five years in a similar role

Intensive experience in ICC rules for Letters of Credit

Preferred: Knowledge of GAFTA and FOSFA

• Proven ability to work in a demanding, and at times, rapidly changing workload priorities.
• Proven ability to work under pressure and multitask as necessary.
• Meticulous by nature with a strong attention to detail
• Ability to maintain cooperative working relationships with both internal and external customers and at all times be customer service oriented.
• Highly developed communication skills.
• Intermediate to advanced computer skills.
• Personal qualities of integrity, credibility, and unwavering commitment to the organizations mission and vision.
• Ideally possesses good level of container and bulk execution experience.
• Team player. Good experience working with team members/inter-departments.

· Maintain office security by following safety procedures and controlling access via the reception desk.

· Handle incoming and outgoing mail and packages, including sorting, distributing, and logging deliveries.

· Schedule appointments and maintain calendars for conference rooms as needed.

· Assist with administrative tasks, such as data entry, filing, photocopying, and scanning documents.

· Monitor and maintain office supplies inventory, placing orders as needed.

· Assist in organizing company events, meetings, and conferences.

· Provide general administrative support to various departments as required.

Requirements:

· Proven work experience as a Receptionist, Front Office Representative, or similar role.

· Proficient in Microsoft Office Suite (Word, Excel, Outlook).

· Excellent verbal and written communication skills.

· Ability to remain calm and composed under pressure.
