Position Overview:
The Operations Executive is responsible for the overall strategic management and execution of core operational functions within the company. This includes leadership over Trip Support, Medical Evacuation Sales and Operations, Aircraft Owner Accounts, Crew Logistics, and the coordination of suppliers and vendors. The Operations Executive will ensure that the company's services meet the highest standards of efficiency, safety, and client satisfaction, while maintaining compliance with regulatory requirements and optimizing cost-efficiency.
Key Responsibilities:
Strategic Management of Trip Support Functions
- Oversee the planning and coordination of flight operations, including route planning, overflight permits, ground handling, and fuelling.
- Ensure seamless execution of client trips by maintaining close communication with internal teams and external service providers.
- Monitor regulatory updates in international aviation to ensure compliance
Medical Evacuation Sales and Operations
- Lead and manage the Medical Evacuation (Medevac) division, ensuring rapid response capabilities and adherence to medical and aviation protocols.
- Establish partnerships with hospitals, insurance companies, and other service providers.
- Oversee pricing strategies and service level agreements (SLAs) for MedEvac operations.
Management of Aircraft Owner Accounts
- Serve as the primary point of contact for aircraft owners, ensuring client satisfaction and operational transparency.
- Manage aircraft scheduling, utilization, and financial performance of owned aircraft.
- Conduct regular reviews of aircraft maintenance status and liaise with technical teams for upkeep and service.
Executive Coordination and Vendor Management
- Lead the selection, negotiation, and management of contracts with key suppliers and vendors, including handling, catering, fuel, and other critical operational services.
- Develop and maintain strategic relationships with suppliers to ensure service continuity and cost-effectiveness.
- Oversee the procurement process and ensure it aligns with company standards and budget constraints.
Safety and Compliance
- Ensure that all operations are conducted in accordance with international and domestic aviation safety regulations.
- Maintain strong working relationships with aviation regulatory bodies and ensure that safety audits and compliance checks are conducted regularly.
- Implement and monitor a robust safety management system (SMS) across all operations.
Budget and Cost Control
- Develop and oversee the operations budget, ensuring that all functions operate within budgetary constraints.
- Conduct regular financial reviews to identify cost-saving opportunities without compromising service quality or safety.
- Monitor expenditure on vendors and service providers, ensuring that financial objectives are met.
Team Leadership and Development
- Lead, mentor, and develop a high-performing operations team, ensuring alignment with company goals and operational excellence.
- Foster a culture of continuous improvement, identifying areas for process optimization and innovation.
- Facilitate training and professional development opportunities for team members.
Crisis Management and Problem Resolution
- Act as the point of escalation for operational challenges, resolving issues related to trip disruptions, client concerns, or vendor service failures.
- Oversee the development and execution of contingency plans to manage disruptions, ensuring minimal impact on clients and operations.
- Lead emergency response coordination in the event of operational crises.
Reporting and Performance Metrics
- Develop and monitor key performance indicators (KPIs) related to operations, trip support, vendor performance, and client satisfaction.
- Provide regular reports to the executive leadership team on operational performance, including recommendations for improvement.
- Ensure that data analytics are used effectively to enhance decision-making and operational efficiencies.
Working Conditions:
- Full-time position, typically Monday to Friday, with occasional overtime as needed.
- Office-based with occasional site visits as required.
Required Skills and Qualifications:
- Must have proven track record of managing an operations department which includes multiple ICAO registries including an AOC.
- Challenging and dynamic work environment dealing with a busy 24/7 air ambulance operation and interaction with UHNWI clientele and their offices.
