We are seeking a highly organized and detail-oriented Office Administrator to join our team. The ideal candidate will be responsible for managing various administrative tasks to ensure the smooth operation of our office. This role will involve filing, bookkeeping, service coordination, and handling accounts receivable, among other duties. The Office Administrator will play a key role in facilitating communication between departments and ensuring that all administrative processes run efficiently.
1. *Filing:*
- Maintain and organize physical and electronic filing systems to ensure easy access to documents and records.
- Ensure that all files are accurately categorized and updated in a timely manner.
2. *Issuance of Invoices/Quotations:*
- Prepare and issue invoices and quotations to clients based on services rendered and client requests.
- Follow up on outstanding invoices to ensure timely payments.
3. *Bookkeeping:*
- Maintain accurate financial records and assist in the preparation of financial reports.
- Record all financial transactions in the accounting software and ensure they are reconciled.
4. *Service Coordination:*
- Coordinate with various departments to ensure that services are provided efficiently.
- Schedule appointments, meetings, and service deliveries as required.
5. *Payment to Suppliers:*
- Process payments to suppliers and manage relationships with vendors.
- Ensure that all payment transactions are recorded accurately.
6. *Accounts Receivable:*
- Monitor and manage accounts receivable to ensure timely collection of payments from clients.
- Communicate with clients regarding overdue accounts and resolve any billing discrepancies.
