- Manage day-to-day office operations, including scheduling, organizing meetings, handling correspondence, and maintaining office supplies.
- Maintain accurate records and databases, ensuring that all information is up-to-date and accessible.
- Assist with general office tasks such as filing, photocopying, and document preparation.
- Provide support for internal communications and coordinate various administrative processes across teams.
2. Human Resource Support:
- Assist with HR tasks such as onboarding new employees, maintaining employee records, and coordinating training sessions.
- Help manage employee benefits, payroll administration, and general HR-related paperwork.
- Support recruitment efforts, including liaising with recruitment agency, screening resumes, and scheduling interviews.
- Help manage all employee correspondence with authorities such as WP application, renewal.
- Ensure HR policies and procedures are followed and provide assistance with employee queries.
3. Finance Support:
- Assist with basic accounting tasks, such as invoice processing, expense tracking, and maintaining financial records.
- Support the finance team in preparing reports, budgeting, and monitoring company expenditures.
- Help with payroll processing and related administrative tasks.
4. Graphic and Web Design:
- Design and produce marketing and promotional materials, including social media graphics, brochures, and email templates.
- Collaborate with the marketing team to create consistent and engaging visual content for digital platforms.
- Assist in the design and maintenance of the company website, ensuring it is up-to-date and visually appealing.
- Update website content, graphics, and layouts as needed, working closely with the management to ensure that website updates are executed smoothly and efficiently.
Qualifications:
- Proven experience (1-2 years) in administrative roles, with some exposure to HR, finance, and design or web-related tasks.
- Strong graphic design skills with proficiency in Adobe Creative Suite (Photoshop, Illustrator, InDesign, etc.), Canva, or similar tools.
- Basic knowledge of web design (HTML/CSS, WordPress, Wix or other CMS platforms).
- Familiarity with HR tasks (onboarding, payroll, employee records) and finance tasks (basic accounting, invoicing, expenses).
- Highly organized with excellent attention to detail and the ability to manage multiple tasks simultaneously.
- Ability to work independently, proactively solving problems and ensuring smooth operations.
- Strong written and verbal communication skills.
- Ability to collaborate with cross-functional teams and interact effectively with employees at all levels.
- A portfolio showcasing your graphic design and web design work is a plus.
- Qualifications in Visual Communication Design will be an Advantage.
