Front Desk:

• First point of contact for clients and guests, delivering an exceptional experience in person and over the phone.
• Maintain front desk, pantry, and meeting room standards.
• Manage meeting room bookings, video conferencing, and equipment.
• Assist with hospitality needs, including drinks and refreshments.

General Administration:

• Ensure pantry and office supplies are stocked and coordinate with maintenance teams.
• Assist with internal and external event coordination, including catering and registrations.
• Organize travel arrangements for staff and visitors, such as hotel bookings and airport transfers.
• Set up workstations and access for new hires.
• Support health and safety procedures, including fire safety and evacuation.
• Perform document tasks (copying, scanning, printing) and handle large volume deliveries.
• Complete various ad-hoc administrative tasks and ensure compliance with regulatory requirements and internal policies.

Job Duties:

• Ensure office is clean, tidy and supplied with all the necessary supplies
• Provide Front Desk Reception duties for the office by managing internal and external stakeholders in a professional and timely manner.
• Manage switchboards – screening and directing incoming calls
• Receive letters, packages and file them properly or forward them to appropriate destination
• Monitor office supplies, place supply orders when necessary
• Monitor and log office expenses and costs
• Manage all vendor invoices including timely payments, manage relationship with the external vendors
• Provides administrative support for senior leaders mainly being responsible for coordination of meetings, travel arrangements, expense processing, coordinating logistics for visiting global management
• Provide facilities management support for efficient and effective delivery of logistics and support services to the office environment
• Liaise with travel management companies to coordinate all aspects of travel arrangements and hotel reservations for domestic and international trips; application for visas;
• Coordinate and maintain records for staff office space and phones, computers, meeting rooms, office stationery, including co-ordination of strategic initiatives such as Windows migrations, office restacks etc.)
• Other ad hoc administrative duties as assigned

Job Requirements:

• Candidate must possess at least a Diploma, Advanced/Higher/Graduate Diploma, any field.
• Minimum 2-3 years and above experience in administrative/secretarial/receptionist experience
• Strong communication skills and able to work in fast paced environment
• Experience with team and people management
