Position Overview: As an Administrative Assistant , you will play a crucial role in supporting day-to-day operations and ensuring smooth administrative processes within the company.
Responsibilities:
- Administrative Support: Handle incoming and outgoing correspondence, including emails, phone calls, and mail distribution. Assist in managing daily administrative tasks, including scheduling appointments, coordinating meetings, and handling inquiries. Maintain office supplies inventory by checking stock, anticipating needs, placing and expediting orders, and verifying receipt.
- Documentation Management: Prepare and edit documents, reports, presentations, and other materials as needed.
Ensure accuracy and completeness of all documentation related to import and export processes.
- Communications Coordination: Assist in drafting and distributing internal communications, memos, and announcements.
Coordinate travel arrangements and accommodations for company personnel as needed.
- Logistics Support: Assist in coordinating logistics for import and export activities, including tracking shipments, preparing shipping documents, and liaising with freight forwarders and customs agents.
- General Assistance: Ad-hoc administrative support to various departments.
Qualifications:
- Proven experience as an administrative assistant or in a similar role.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- As the job require frequent interactions with overseas customers/suppliers, communication skills in English, both written and verbal are required.
- Knowledge of import/export processes and logistics.
- Prior working experience in a Japanese company (preferable but not required)
