Key Accountabilities/Responsibilities:
Procurement and Resource Management
Sourcing and Cost Management
- Source items within allocated budgets and negotiate with suppliers for cost-effective solutions.
- Draft ITQ (Invitation to Quote) specifications for purchases exceeding $3,000.
Purchase Order and Delivery Management
- Create and raise purchase orders based on departmental requirements.
- Monitor delivery schedules, ensure timely receipt of goods, and inspect received items as the Goods Receipt Officer.
Supplier and Compliance Management
- Maintain strong supplier relationships to ensure reliability and quality.
- Ensure compliance with procurement policies and prepare documentation for audits.
Resource Allocation
- Oversee the setup and maintenance of AV equipment, apps and systems.
- Manage the physical and virtual resources e.g. issuance of laptops to staff, iPads to students, and teaching resources in the resource room.
Document and Data Management
- Digitalize important documents by scanning, categorising, and systematically filing them.
- Maintain confidentiality and security protocols for all managed documents.
- Keep detailed and accurate procurement and resource management records to support decision-making and compliance.
Stocktaking, Disposal, and Decluttering
- Conduct inventory of physical assets, updating records with item status and location.
- Identify items for disposal, coordinating secure and responsible disposal according to school policies.
Operational and Logistical Support
- Assist in the planning and execution of relocation schedules, ensuring minimal disruption.
- Support logistical arrangements for moves, including coordination with vendors and setup at the new location.
Administrative Support
- Provide clerical support to ensure smooth day-to-day operations, including answering phone calls, data entry into StudentLink, writing minutes, organising school events and other administrative tasks.
Additional Duties
- Perform other duties as required to support school administration cum operations objectives.
Job Requirements:
- Diploma/ Degree from recognised institutions
- 2 - 3 years of relevant experience
- Attention to Detail
- Strong command of language - Able to accurately read, draft, and comprehend contracts and technical specifications.
- Teamwork and Collaboration
- Basic Accounting Knowledge - Understanding the financial aspects of purchasing, such as budgets, invoices, and payment term.
- Adaptability and Flexibility - Excellent organizational skills with the ability to manage multiple tasks and priorities effectively.
- Technical Knowledge - Familiarity with purchasing software, inventory management systems, and other relevant tools, i.e. Tenderboard, Microsoft Office applications
