The Role
The intern Office Admin, HR, and Services position will provide office administrative duties and HR support to employees at our Singapore office while assisting the Enterprise Services team with various administrative tasks.
The role reports to the Director of Administration & Corporate Events and functionally reports to the SVP Finance & Operations.
Key Responsibilities
Office Admin & HR
- Collaborate with building management, managing their portal, raise and submitting requests to the management company and forwarding circulars to staff.
- Ensure office cleanliness and maintain adequate supplies by managing inventory and coordinating with the admin team or vendors.
- Assisting staff requests & inquiries regarding the office, office supplies, new joiners and leavers.
- Maintain accurate records by regularly updating all folders & files, including vendor contact details.
- Handle mail deliveries and efficiently arrange their distribution to respective colleagues.
- Manage and represent the Social Committee for company social events.
- Coordinate employee onboarding and offboarding processes, including workstation set-up and collection of company assets.
- Assist with and coordinate logistics related to HR training.
- Any ad-hoc projects as assigned.
- Such other responsibilities as directed by the Employer from time to time.
Enterprise Services
- Support in the onboarding and offboarding of Commercial Services departments freelance labor force by issue contracts and maintaining freelance database.
- Support department in contract management by issuing of contracts, maintaining contract databases and following up with various personnel within the department for possible renewals.
- Support in issuance of travel notifications company wide.
- Supporting AFG's travel team on various ad hoc tasks.
- Other duties as assigned.
Skills, Experience and Qualifications
- Able to commit to a full-time Internship for six months.
- Applicant preferred to obtain diploma/degree.
- Attention to detail and ability to maintain organisation in a fast-paced environment.
- Proficient user of all Microsoft applications.
- Flexible, enthusiastic and motivated.
- Ability to prioritise tasks, stay organised, and work both independently and within a team.
- Proficiency in written and spoken English; proficiency in other Asian languages is a plus.
- Candidate must be based in Singapore.
