This role will involve working alongside and providing support to the Worship & Music team and Pastors in the church in the planning and organising, implementation and ensuring the smooth running of the services, events, trainings and activities in the Worship & Music ministry.

This role will entail regular office hours but may require the individual to occasionally work on evenings and weekends (Holy Communion weeks and special services/events). All efforts will be made to keep such occasional work to a minimum, with appropriate time-off-in-lieu granted.

MAIN DUTIES AND RESPONSIBILITIES

Organise, implement, execute, and manage operational workflows in the Worship & Music ministry, in close communication and collaboration with Pastoral Team Staff(PTS), Pastors, and laity. These include:

A) Service Planning

• Prepare the slides for the English services weekly, using relevant software tools
• Ensure that the liturgical cloths in the relevant worship venues are maintained and changed according to the liturgical seasons
• Oversee the care and maintenance of the liturgical furnishings in the various worship venues (including individual kneeling cushions, candles, altar book stand, standing cross, etc)
• Ensure that the Altar Books in the relevant worship venues are updated with the correct Great Thanksgiving at each Communion Service
• Maintain the stock of Holy Communion elements, including ordering, checking for expiry, and storing in a reverent manner elements that have been consecrated
• Prepare the Holy Communion elements in the trays and ensure that they are brought to their respective worship venues each week
• Liaise with relevant 3rd parties for special offerings (including getting slides/videos from them)
• Submit song reports to CCLI
• Record minutes for the Service Team Meetings and W&M Staff Team Minutes

B) Worship Services

• Roster ushers for all regular English services at the Barker Road campus, including special services
• Roster Communion Assistants for all regular English services at the Barker Road campus, including special services as required
• Brief Communion Assistants on the process and procedure for serving Holy Communion
• Assign Communion Assistants to their stations at each worship venue
• Support the pastors’ office in ad-hoc activities including special services, baptism interviews, and staff devotions

C) Floral Ministry

• Serve as liaison with the floral ministry
• Support the implementation of tools, courses, materials, and technologies
• Provide inputs and feedback on the general spiritual health of the ministry (including its volunteers), based on observations made during the course of work
• Execute all programmes and activities with sound budgeting and financial management
• Execute all programmes and activities in compliance with church policies and guidelines
• To carry out additional responsibilities when assigned by pastors or immediate supervisors in current ministry and/or other ministries

QUALIFICATIONS

• Diploma and above in any closely-related field

MAIN DUTIES AND RESPONSIBILITIES

Recruitment & Onboarding:
1. Administer and track the end-to-end recruitment process from pre-employment to onboarding.
2. Facilitate the New Hire Onboarding/Orientation programme and conduct the First-Day-at-Work orientation.

Maintenance of HR Documentation & Records:
1. Facilitate all staff movement from recruitment, to onboarding and offboarding; ensuring that each stage is performed smoothly and the documentation is complete and filed accordingly in the P-files.
2. Track key employee events and dates in the employee life cycle and responsible for data accuracy, integrity and timeliness of updates.
3. Prepare and update employment-related letters.
4. Prepare and regularly review/update the Standard Operating Procedures to ensure accuracy and completeness.
5. Prepare regular reports and dashboards for strategic decision-making to management.

HR System Administration:
1. Create and manage employee records in the HR E-Portal and payroll system.
2. Create and maintain leave calendars in the HR E-Portal.
3. Liaise with the payroll vendor and IT on any system trouble-shooting issues.

Processing of Claims:
1. Verify and approve HR-related claims.

Employee Insurance:
1. Gather quotations and make recommendations on insurance renewal (including preparation of all information and data required for quotations and renewals).
2. Processing, submission, and follow-up of claims.
3. Assist staff on Letter of Guarantee (if necessary) and claims submission.
4. Answer queries relating to insurance matters.

Training:
1. Collate training needs in an organization training plan, identify suitable training providers/resources/courses for staff when necessary.
2. Update staff training records in a timely basis.
3. Manage the Academic Program sponsorship and scholarship process.
4. Administer the application for and receipt of training funds from government agencies/ministries.
5. Upon receipt of staff training nomination form submissions, to perform first-level checks.

Performance Management:
1. Ensure performance management appraisals are duly completed and tracked as per timeline; including follow-up.
2. Ensure all performance management forms are filed.
3. Compile performance report for review/analysis

Payroll:
1. Administer payroll-related activities from ensuring all salary matters and pay records are updated in the payroll system, to initializing and processing pay records.
2. Verify downloaded claims for salary processing.
3. Prepare bonus & salary increment spreadsheets for review and approval by approving managers.

Other HR work:
1. Continuously review and provide inputs on streamlining of HR policies and processes.
2. Liaise with government agencies for funding of childcare leave, maternity leave, career support, Skills Future and other initiatives.
3. Prepare and complete government surveys.
4. Assist in employee engagement activities.
5. Administer the annual Conflict-of-Interest Declaration exercise
6. Prepare management reports as required.
7. Provide documentation and prepare data for audit purposes.
8. Process immigration pass applications/renewals/cancellations on a timely basis
9. Notify IRAS on tax-clearance matters for staff on immigration passes who leave the organisation.
10. Respond to inquiries on HR-related matters and provide guidance and interpretation to staff and managers on policy matters.
11. Carry out any other duties as assigned by the supervisor and/or Pastor-in-Charge.

QUALIFICATIONS:
1. Degree preferably in a HR-related field

RELEVANT EXPERIENCE AND SKILLSETS:
1. At least 5 years’ relevant HR experience in a HR Shared Services role (including payroll experience).

2. Strong working knowledge of multiple human resource disciplines including compensation and benefits, payroll, employee relations, performance management, Singapore Employment Act, Employment of Foreign Manpower Act, CPF Act, and the Tripartite Guidelines on Fair Employment Practices.

3. Familiarity with Access EasyPay will be required.
4. Strong administrative, planning and organisational skills.
