Job Mandate

This role is responsible for assisting Head/s in handling and coordinating all administrative matters for the department/unit. The job may also include some operations-related work as assigned by the Chie Executive.

Duties & Responsibilities

1. Acts as liaison person/central point of contract (POC) for the Department/Business Unit/Office

2. Assists in the encoding or preparation and editing of documents/presentation materials as required by the Chief Executive

3. Monitors submissions of MIS Reports from the different units as required by the Chief Executive.

4. Schedules and coordinates appointments/meetings

a. meeting venue and required resources/equipment’s

b. refreshments/meals

c. logistics

5. Handles all incoming and outgoing correspondences/documents

a. prepares draft memos

b. finalizes copies of memos

c. receives, sorts and distributes all incoming correspondences

d. records and releases all outgoing correspondences

6. Assist in HR related matters

7. Handles supplies and company giveaway requisitions

8. Assists in the preparation, distribution of units company related requirements

9. Photocopies/faxes documents as requested

10. Handles all incoming and outgoing calls

11. Receives, screens and assists visitors

12. Monitors phone expenses

13. Receives notices of absence from department/unit employees

14. Organize and maintains the office filing system

Job Mandate

The International and Loans Assistant is primarily responsible for assisting the Head of Loans Unit in the daily operations of International and Loans Unit of the branch. He/She ensures prompt and efficient service delivery in compliance with the Bank’s service standards and internal control.

Duties & Responsibilities

1. Informs clients of new relevant regulatory circulars and reviews their accounts to ensure continuous enhancement of quality service.
2. Performs start and end of day activities as follows :
   a. Prepares and reviews and submits branch reports in accordance with existing policies, procedures and control.
   b. Ensures that the branch operations adheres to the following :

• Bank policies, procedures and controls related to International and Loans transactions are strictly followed by designated personnel to attain an acceptable audit rating and implement Audit rectifications within the department.
• Regulations of Singapore Monetary Authority, Bangko Sentral ng Pilipinas, Anti-Money Laundering Council and other pertinent government agencies.

3. Processing of trade, loans, inward/outward remittances, treasury, and wealth transactions.

4. Daily monitoring and matching of payment and receipts in bank’s nostro accounts.

5. Monitor, process and ensure timely execution of the trades, treasury and wealth transactions.

6. Performs other duties assigned from time to time.
