Position Overview:
The Senior Executive, General Affairs & Administration, is responsible for managing the personal vehicle needs of the Chairman, ensuring their upkeep, maintenance, and compliance with all legal and operational requirements. The role includes both administrative and operational duties to ensure the smooth functioning of the Chairman's personal transportation.
Key Responsibilities:
- Vehicle Maintenance & Care:Oversee the washing, waxing, and general upkeep of the Chairman's personal vehicles.
Arrange and monitor regular car servicing and maintenance, ensuring timely appointments and high standards of care.
Maintain an organized schedule for car servicing, repairs, and necessary checks.
- Mileage Tracking:Accurately clock in and track the mileage of all personal vehicles to ensure that they remain within maintenance schedules and operational efficiency.
Report mileage regularly and suggest necessary actions to maintain vehicle health based on mileage milestones.
- Fuel and Cashcard Management:Ensure all vehicles are fueled appropriately, with petrol top-ups managed efficiently.
Maintain sufficient funds on the vehicles’ cash cards for smooth road usage.
- Legal Compliance:Ensure all road tax and insurance documents for the vehicles are up-to-date and valid.
Liaise with relevant agencies or service providers to renew any expiring documents well in advance.
Monitor and track expiration dates for vehicle documentation and take prompt action to renew them.
- Vendor and Service Liaison:Liaise with external service providers for maintenance, repairs, and cleaning services, ensuring cost-effective and high-quality work.
Handle any issues that arise with service providers and resolve them efficiently.
- Additional Support:Provide administrative support to the Chairman regarding vehicle-related matters and ensure all documentation is properly recorded.
Manage any other tasks related to the Chairman's personal vehicles as required.
Qualifications:
- Minimum 3-5 years of experience in an administrative or operational support role, preferably involving vehicle management.
- Strong organizational and time-management skills.
- Attention to detail, especially with regards to tracking and managing maintenance schedules and compliance documents.
- Ability to work independently and handle multiple tasks simultaneously.
- Familiarity with basic vehicle maintenance and service schedules is preferred.
Skills:
- Strong communication and vendor management skills.
- Basic knowledge of vehicle care and servicing.
- Proficiency in administrative tasks and document management.
- Ability to work in a fast-paced environment and meet deadlines.
This role ensures the Chairman’s personal vehicles are well-maintained, legal requirements are met, and operational efficiency is maintained.
