Job Overview:
The HR & Admin Executive will support the full spectrum of HR operations and administrative functions, ensuring smooth day-to-day operations of the office. This role involves assisting with office management, employee onboarding and offboarding, procurement of supplies, performance management, and maintaining employee records in compliance with Ministry of Manpower (MOM) guidelines.
Key Responsibilities:
HR Operations & Administration Support:
- Assist with a variety of HR operations including administrative duties related to employee records, payroll, and benefits management.
- Maintain employee records (attendance, EEO data, etc.) ensuring compliance with policy and legal requirements.
Office Management & Procurement:
- Assist with managing office supplies and pantry items to ensure smooth daily operations.
- Oversee the procurement of stationery, ensuring proper inventory and ordering as necessary.
Employee Onboarding & Offboarding:
- Assist with onboarding new employees, including issuing uniforms and maintaining uniform inventory records.
- Manage the offboarding process for departing employees, including work pass applications, renewals, cancellations, booking flight tickets home, and ensuring compliance with Ministry of Manpower (MOM) and dormitory guidelines.
Performance Management:
- Support the implementation and management of performance processes, ensuring timely and accurate performance evaluations.
Compliance & Legal Requirements:
- Ensure all HR and operational processes comply with relevant labour laws and MOM regulations.
- Keep employee records up to date and aligned with legal requirements.
Ad-Hoc HR & Operations Support:
- Provide support for any additional HR or operational matters as needed, assisting managers with various tasks to ensure smooth operations.
Job Requirements:
- Good knowledge of Ministry of Manpower (MOM) Employment Laws and Labour Laws.
- Proficient in MS Office; experience with HR systems like Quick HR or Infotech is a plus.
- Strong organisational and time-management skills to handle multiple tasks efficiently.
- Excellent communication and interpersonal skills to engage with employees at all levels.
- Strong problem-solving and decision-making abilities.
- High level of ethics and reliability when dealing with sensitive information.
- A diploma in Human Resources, Psychology, Business Administration, or IHRP-CA certification would be advantageous.
