CHURCH ADMINISTRATOR
We, Boscombe Life Church (BLC), are a family-oriented congregation of about 200 members and seek a suitable individual to serve with us as administrator. The Administrator will be responsible for the daily administration and operations of BLC and will work with the Senior Pastor and other church staff to support the activities of BLC and its community services arm.
JOB DESCRIPTION
Church Office Administration
- Organising and managing general affairs and administration of church office
- Assisting in the implementation of plans of the church and decisions of the Board
- Representing the church in attending official events
- Responding to official correspondences and communications with government agencies andexternal, the public, vendors and service providers
- Maintaining filing systems and official church records
- Provide administrative and logistics support during special events and activities
- Attending monthly board meetings to give updates and reports
- Any other duties as may be reasonably assigned by the Board
Building and facilities
- Overseeing maintenance of church building, facilities and equipment
- Overseeing maintenance of digital assets (eg website, media, SM)
- Overseeing festive decorations of church building
Membership
- Attending to members’ enquiries
- Maintaining membership database
- Preparing weekly bulletins and coordinating church wide communications with members
- Preparing prayer items for monthly prayer meetings
- Coordinating special events such as weddings, funerals, baptisms, and other ceremonies
- Accompanying pastoral staff in visitation and other events/activities
Staff
- Administering staff benefits and other HR matters (including leave application, outpatient claims)
- Managing junior and part time staff and their schedules
- Rostering for manning of church office (including Saturdays)
Finance
- Assisting in the strategic planning and annual budget
- Managing the church’s finances, tracking income and expenses, reimbursement of claims,payroll
- Preparing monthly accounts for reporting at board meeting
• Liaising with auditors for filing of tax returns
Regulatory and Compliance matters
- Filing of annual returns and other documents with Registry of Societies, Commissioner of Charity and other government agencies
- Assisting in the development of the church’s policies and processes in accordance with prevailing regulations and in their implementation
PRE-REQUISITES AND QUALIFICATIONS:
- A baptised Christian and subscribes to BLC statement of faith. Membership to be transferred to BLC
- Diploma holder or other appropriate qualifications, preferably with working experience in office administration in church organisations.
- Preferably bilingual (proficient in spoken English and Mandarin)
- Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook)
- Independent worker with good interpersonal and communication skills to collaborateeffectively with people from different backgrounds and experiences
- Must be willing to work onsite and on Saturdays.
