Key accountability (Main purpose of this job):

Reporting to the Kindergarten Principal and Senior Administrative Executive, this role will be responsible for ensuring the smooth operation of the Toh Tuck Wing Office as an attractive and efficient administration hub of the school. This role will provide service and support for students, parents, teachers and principals.

Responsibilities (Key areas of Responsibilities):

Kindergarten Principal (P) / Kindergarten Vice Principal (VP)

• Assist with planning of PTC/SLC booking slots (involving P/VP and IT).
• Work with the VPs on new classes assignment for all students for the new academic year (involves P/VP/Leads).

Student Data (Nursery to Grade 1)

• Collate attendance, monitor and follow up on Student Leave Forms and submit attendance reports promptly.
• Mark attendance for meal order, collate meal documents and input data for Finance billing purposes (Nursery and Kindergarten only).
• Maintain Students’ Virtual Files.
• Upkeep bus numbers in ISAMS.

Parents

• Contact parents/caregivers for students who are not picked up after school.
• Manage student meal order enquiries and liaise with the canteen provider when necessary.
• Maintain good relations with parents and caregivers.
• Issue certification letters and process requests for reports.
• Coordinate student referral/recommendation letter process and entry test requests.

Staff

• Calling of supply and/or arranging internal cover for IAs and teachers.
• Handle leave applications of all IAs and teachers, including data entry into the HR portal and collating leave forms for submission to HR.
• Collate all timesheets of supply IAs and teachers for submission to payroll once a month.
• Support VPs/teachers with Chinese oral translations for day to day matters, when required.
• Generate draft student reports for proofreading.
• Prepare teachers’ timetables by converting timetable format to Daily Plan in Google Sheet.
• Record bus booking costs and teachers’ claims on Primary budget record.

School

• Handle walk-in enquiries and phone calls.
• Order stationeries/pantry supplies for the Office/Staff Room.
• Collect school mails from the Main Office.
• Coordinate photo taking sessions twice a year.
• Prepare supervision duty schedule with VPs’ guidance, when required.
• Prepare and place classroom door labels.
• Process bus bookings with the Transport Company.
• Work collaboratively with VPs and/or designate on timetable system.
• Support the end of school year processes including exit procedures for year end students and teachers.
• Support holiday camps including summer camps as needed.
• Undertake any other duties as requested by the CEO, HOS, Principal and General Manager.

Logistics

• Coordinate with logistics companies to manage local and overseas deliveries.
• Coordinate and make arrangements for facilities booking, set-up and F&B arrangements for events/activities.
• Assist to cover for Office Staff when necessary.

CEB Student Assessment Assistance

• Assist Chinese Community Affairs Executive with YCT, AAPPL and HSK across the Divisions (Primary and Secondary).

Requirements:

• Minimum diploma in any disciplineGCE ‘O’ level qualification.
• Strong customer service and communication skills.
• Good organisational and time management skills; conducting tasks in a structured and logical manner.
• Ability to work independently and be a team player.
• Proficient in IT skills and Google interface including Gmail, Google Docs, Sheets, Forms etc.
