What will you do at Ciena?
The Global Events Marketing (GEM) team is seeking an enthusiastic event professional with an emphasis on APJI Trade Shows to project manage and deliver industry trade shows and hosted events as assigned.
You will represent Ciena, communicate key marketing messages and facilitate the execution of these events. On-site attendance of the event will be required. You will work on various events with many different stakeholders from Sales, Marketing and Corporate executives to deliver an exceptional experience for our internal and external customers, in line with our corporate and regional objectives and company values.
Overall Responsibilities
- Support the Global Event Marketing strategy through the management and execution of event logistics including, but not limited to; event evaluation, reviewing sponsorship and exhibition opportunities, managing and tracking event schedules and the management or updating of event management systems and communication channels and participating in and helping to manage pre-event planning calls
- Manage the coordination of marketing deliverables such as pre-show marketing communications, booth graphics, giveaways, managing hotel room blocks, coordinating shipping to/from event, communicating event details to relevant stakeholders, and onsite management
- Coordinate the development of booth designs, graphics production and show services, as well as coordinate onsite logistics such as booth setup, on-site management and dismantling
- Conduct pre-show debrief processes such as staff or attendee surveys, post-show email communications, feedback gathering from staff and external attendees including post-show reports to help evaluate the success and ROI of an event.
General Activities
- Negotiate pricing and sponsorship with conference/trade show organizers
- Work with GEM team to manage accounting for trade shows, including raising purchase orders, organizing and submitting invoices for payment, and invoice and credit card payment receipt tracking
- Create and manage marketing creative job needs through our content management system
- Create SalesForce (SFDC) campaign codes, uploading leads from trade shows and send post event surveys and manage data feedback
- Create and manage on-site meeting schedules through Jifflenow, our meeting management tool
- Source for trade show giveaways and manage the procurement process
- Oversee booth setup and manage all trade show logistics
- Propose and manage printing of additional marketing materials such as banners and brochures to elevate Ciena’s branding
- Travel on site to manage and execute GEM trade shows as needed
Collaboration with stakeholders
- Collaborate with Corporate and Field Marketing teams on marketing campaigns, such as pre-show direct mail campaigns, advertising, and public relations, ensuring maximum event exposure, lead generation and customer engagement
- Coordinate and execute planning calls for each show with global stakeholders; provide background information on the event, manage and set expectations of stakeholders, create action register to be distributed to planning team before/after calls for event management
- Collaborate with the conference event planning team to manage conference-type events during trade shows
- Collaborate with GEM Team colleagues in all regions to ensure 360-degree coordination, event planning consistency and communication on best practices and learnings
- Continually monitor technology trade show industry, evaluate and recommend potential trade show opportunities based on the corporate, marketing and sales objectives
Areas of impact
- Provide continual evaluation of event programs, including post-event evaluations, ensuring measurable tracking methods are followed, reporting ROI and identification and implementation of any new best practices into all aspects of event planning process, execution and review
- Analyze event, industry and competitive data to drive strategic recommendations and improve effectiveness and efficiency of events
- Document and continuously improve all event related processes
- Create pre-show and post-show reports for each show outlining ROI and feedback for general reporting and evaluation
- Regularly report to Manager areas of impact, to ensure continued regional alignment with Director on Global Event Marketing Strategy
Experience
- Must have minimum 5 years professional experience planning and coordinating trade shows and events
- Must have strong written and verbal communications skills, including presentation and briefing skills
- Excellent project management and organizational skills
- Experience with budget management
- Ability to reprioritize multiple projects as deadlines and objectives change
- Superior scheduling, organizational and multi-tasking skills
- A collaborative approach to work seamlessly with teams from across the business
- Ability to think on your feet in a fast-paced environment
- Ability to travel and work flexible hours as needed
- Knowledge of SalesForce (SFDC) preferred
- Cvent knowledge for venue searches and event registration is preferred
- Knowledge of the technology industry is preferred
Qualifications (not essential)
- Bachelor’s Degree in Event Management (or related or a related discipline such as a Marketing or Hospitality degree) is considered an asset
- Diploma in Event Management / Planning is considered an asset (for example a CIM Accredited course or Diploma)
