Role Description

This is a full-time on-site role for an Admin Assistant at Cogent Container Depot Pte Ltd. The Admin Assistant will be responsible for day-to-day tasks related to the container depot operations, including accepting and processing container transactions, coordinating with customers and truck drivers, and ensuring accurate documentation.

1. Process documentation for container movement in the depot.

2. Attend to hauliers and process in-bound and out-bound container details in the system.

3. Collate daily storage, repair and movement reports as well as any other ad-hoc requests required by the shipping/leasing line.

4. Collect payment from hauliers and tally with reports.

Requirements:

1. Minimum GCE 'N' level

2. Minimum 1 year of working experience

3. Computer knowledge in Microsoft Office

4. Able to perform overtime when necessary

5. Willing to work alternate Saturday

1. Monday - Friday 8.30am - 5.45pm, Alternate Saturday 8.30am – 12.30pm

Role Overview:

This is a full-time role for a Container Depot Admin Executive in Cogent Container Depot Pte Ltd. The Admin Executive will be responsible for seamless inventory management, overseeing incoming and outgoing shipments, coordinating with suppliers.

1) Managing heavy movement transactions inside Container Depot.

2) Maintain Container records for the department

3) Handling survey reports and raising estimates for damaged Containers.

4) Liaising with haulers and container owners in preparing the job orders.

5) Ensuring “First in First out” system inside container depot.

6) Consolidate daily and monthly reports to container owners.

7) Ensure to meet all Container criteria request and job orders from the Container owners.

8) Ensure parts and equipment’s availability, inventory and procedural flow integrity and functionality

9) Perform billing to customers

Requirement:

1. Diploma qualifications in Logistics, Supply Chain Management, or related field

2. 2 years’ experience in container depot or related fields preferred

3. Able work under a fast-paced work environment

4. Strong Interpersonal Skills and Communication Skills

Responsibility:

Job Description

1. Assist the superior to manage the day to day Depot operations
2. Ensure equipment is in good working conditions and follow up on maintenance and repair, if any
3. Monitor outstanding container repairs for shipping and leasing lines
4. Assist the superior in planning the yard relocation and allocation of containers
5. Ensure there is no delay at the gate and ensure smooth traffic flow at all times
6. Discuss and report to superior on any enhancement made to daily operations
7. Assist the superior to perform outdoor tasks like container nomination, container measurement, make shifting arrangement etc.
8. Attend to any additional services which are non-routine in nature (such as container door cannot open etc.)
9. Manage subordinates to achieve operational and service excellence
10. Report to superior if there is any dispute, accident and incident. Prepare the accident report and submit to superior
11. Conduct toolbox meeting weekly
12. Attend the regular operations meeting with shipping agents to discuss operations work plan and implementation
13. Keep track of fixed assets and ensure depot facilities are in good order
14. Liaise with DTT team to improve trucking efficiency
15. Regulate the importance and priority of every job order assigned to the operations team
16. Liaise with vendor on container repairs/ washing issues and ensure that they complete their jobs on time to meet our customers’ requirement. Ensure containers are repaired according to IICL/ cargo worthy standards or other customers’ criteria
17. Identify safety hazards in operations areas and proactively eliminate any risks
18. Ensure staff work safely in a safe workplace
19. Integrate safety into daily work activities
20. Adhere to statutory / company’s safety and health policies, procedures and regulations
21. Any other duties and responsibilities assigned from time to time

Requirement
