Key Responsibilities:

• Certification Process Management: Oversee end-to-end certification processes for assigned clients, including documentation review, audit scheduling, and certificate issuance.
  Ensure compliance with relevant international standards, regulatory requirements, and company policies.
  
• Client Relationship Management: Serve as the primary point of contact for clients regarding certification services.
  Address client inquiries, provide guidance on certification requirements, and maintain strong professional relationships.
  
• Audit Coordination: Liaise with auditors and clients to schedule audits, ensuring timely completion.
  Ensure all necessary documents and information are prepared and provided to auditors.
  
• Database and Records Management: Maintain accurate and up-to-date records of certifications, audits, and client communications in the company database.
  Generate periodic reports for management on certification activities and key performance metrics.
  
• Regulatory Updates: Monitor updates to relevant industry standards and regulations to ensure certification processes remain current and compliant.
  Communicate changes to clients and internal teams as necessary.
  
• Quality Assurance and Improvement: Assist in internal audits and continuous improvement initiatives to enhance the efficiency and quality of certification processes.

Qualifications and Experience:

• A diploma or degree in Business Administration, Environmental Science, Quality Management, Sustainability in general, or related field.
• 1–3 years of experience in certification, quality assurance, or a similar role (experience in the TIC industry is an advantage).
• Familiarity with certification standards such as ISO, ASC/MSC, GSTC, ISCC, RSPO, or other relevant frameworks is preferred.
• Strong organisational skills with the ability to manage multiple projects simultaneously.
• Excellent written and verbal communication skills in English.
• Proficiency in Microsoft Office Suite and experience with CRM or certification management systems.

Responsibilities

• Plan and execute Internal Audits (program manual audit, office audit, Process monitoring) and file assessment forms.
• Assist the Certification Manager/Director in management review and advisory council.
• Register, investigate, handle, follow-up and coordinate with the Certification Manager/Director for complaints, incident and appeals.
• Assist the Certification Manager/Director with handling of claims.
• Define, select, and follow-up of improvements.
• Filing of Improvements:
• Pursuit of efficiency/QHSE improvements.
• Processing of corrective actions with regards to the QHSE system.
• Supervise accreditation, Procedure Manual, and specific program manual and its implementation, validate new programs:
• Maintain and ensure implementation of Accreditation-demands, including but not limited to Procedure Manual and impartiality check and all activities implemented from the QHSE manual.
• Verify and review the overall management system, in compliance with ISO 9000, ISO 19011, ISO/IEC 17065, ISO/IEC 17021 and ISO/IEC 17020, and other Government Regulation

Requirements

• Bachelor's degree or comparable level by training or experience in a relevant discipline.
• Minimum 5 years of experience in inspection, certification, pest management industry or related field.
• Having experience as program coordinator, supervisor, or relevant position.
• Lead auditor training.
• Knowledge of the current version{s) of ISO 9001, ISO/IEC 17065 and/or ISO/IEC 17021, ISO/IEC 17020, and other Government Regulations
• Knowledge of audit principles, practices, and techniques ISO 19011
• Experience with QHSE and/or other sustainability standards.
• Knowledge of company/management processes.

Role Description

This is a full-time on-site role as a Sales Administrator (Agri-Inspections). As a Sales Administrator, you will be responsible for various administrative tasks related to our agri-inspections business. This includes

• managing schedules
• preparing pre-shipment certificates
• coordinating with clients
• attending to trade shows, meetings (where necessary)
• providing general administrative support.

You will also be given a sales related KPI to improve the overall topline of the inspection business.

We are seeking a detail-oriented individual with excellent communication and interpersonal skills for the position of Administrative Assistant for our Certification division.

The primary responsibilities include assisting in the contracting process and overseeing the surveillance monitoring of audit cycles. Ideally, the candidate will have experience with a certification body or possess a fundamental understanding of quality management systems and external audits (both product and management systems).

Key duties involve acting as a liaison with new and existing clients, planning audits based on certification cycles and auditor availability, managing client and auditor communications, sending audit notifications, and handling initial processing and follow-up of audit documents (pre-audit and post-audit).

Additionally, the role may require participation in quality system maintenance activities related to audits and certification. This includes maintaining accreditation-related documents, implementing the company's procedure manual and inspection regulations, and monitoring/updating staff qualifications and KPIs (Key Performance Indicators).
