The Finance & Operations Senior Executive reports to the company founder and general manager (ex-eCommerce Architect at Razer and ex-Digital Marketing Manager at Unilever) and plays a key role in our financial management, accounting and classroom operations. The ideal candidate would be someone who is comfortable to work independently with accounting or finance qualification and experience with an interest to be exposed on the more strategic aspects of managing finances and accounts as an individual contributor. The individual would also be keen to perform operational tasks up to 40% of the time. This is a hands-on role which requires financial prudence, attention to detail and a degree of self-management for our small and fast moving technology-enabled Education startup in Singapore and Malaysia.

The executive will be involved in:
- Developing and maintaining financial analysis and reporting activities for the company. Including financial modelling and budgetary controls. (30% of the time)
- Administering and reconciling all general ledgers, tax documents, payroll and accounts receivables/payables reports. (30% of the time)
- Systemising the financial workflow processes. (20% of the time)
- Handling administrative and program operations matters with our vendors. (20% of the time)
Specific Responsibilities (Finance Related)
- Develop and maintain financial analysis and reporting activities for the company. Maintain all financial records and files as per accounting standards required in Singapore & Malaysia (consulting our local corporate secretary).
- Prepare finance reports and account reconciliation reports on a periodic basis.
- Ensure maintenance of the general ledgers in SGD and MYR.
- Prepare tax documents for timely filing of company tax in our Singapore & Malaysia entities with our corporate secretaries.
- Manage account payable and receivable activities.
- Support the annual financial audit processes through the preparation of standard reports as well as other custom reports as requested together with our corporate secretary.
- Administer all payroll activities as well as oversee vendor payments etc via PayBoy, Stripe, Xero & PayPal.
- Reconcile monthly general ledger balance, invoices and claims via our payroll software.
- Assist management in contract administration for vendors, partner organisations, instructors and students.
- Assist management in financial modelling and analysis for strategic planning.
- Identify and resolve invoicing issues, accounting discrepancies and other financial related issues.
Specific Responsibilities (Operations Related)
- Coordinate and manage end-to-end operations for training programs, including scheduling, venue arrangements, and material preparation.
- Stationed at client premise on-site for a period of time for program execution with transport and food allowance.
- Optimise onboarding processes for workshops and programs to ensure a seamless participant experience.
- Use automation tools like Zapier and ChatGPT to improve workflow and service delivery.
- Prepare and organise detailed notes with AI tools
- Update our student guide and onboarding emails
- Provide customer or client servicing support via text or email, ensuring prompt resolution of queries.
- Register participants and submit necessary paperwork for SkillsFuture and HRDF claims.
- Oversee logistical arrangements, including delivery and setup of training materials and equipment.
- Ensure lesson materials are printed and sent to local/overseas post.
- Send timely updates and reminders to participants about schedules, materials, and evaluations
- Assist in tracking program budgets, stationery and ensuring cost-effective use of resources.
