You will be part of the Events Management & Planning teams to manage daily centre group visits and events operations, resource allocation, coordinating and achieving performance objectives for SDC.

Responsibilities:

• Itinerary planning for organised school/corporate visits and coordination of all resources, reservation and booking of tickets and setup required.
• Ensuring day-to-day operational requirements are executed in accordance with safety regulations and business objectives.
• Coordinate with other business units and external clients on event operations and resource management for events such as family days, workshops, product launches and SDC’s Signature events.
• Procurement through Tenderboard for necessary logistics and services to support centre and event operations.
• Overall in-charge (on-site) of the operations for events, school & group visits.
• Other ad-hoc duties as assigned by Manager/GM, SDC.

Critical Accountabilities:

• Planning and liaison between stakeholder and vendors in the conduct of Visitor Experience Survey.
• Plan and execute pre-event and post-event operations meetings.
• Itinerary planning for events, school/group visits coordinating related reservations, bookings and resources.
• Manage (and execute) all event related administrative duties and documentation including procurement of logistics and services.
• Planning for the conduct of Visitor Experience Survey.
• Sourcing, liaison and negotiation sponsors, partners and event suppliers for events and organised school/group visits.
• Develop and manage crowd control and evacuation plans with various stakeholders.
• Manage escalated on-site issues.
• Provision of reports, feedback and reviews after events.

Requirements:

• Min. Diploma in Business, Tourism Management, Hospitality or equivalent.
• Detail-oriented with a strong desire to be successful.

THIS IS A ONE-YEAR CONTRACT ROLE

The Curatorial and Collections Department is seeking a dedicated and detail-oriented Collections Data Entry Executive to join our team. In this vital role, you will be responsible for the accurate entry and management of data within our Collections Management Database.

Beyond data and document management, you will provide essential administrative support for a range of projects, including artefact store improvement & maintenance, and artefact conservation initiatives, while assisting with inventory management.

Key Responsibilities:

1. Data Entry & Database Management:Accurately input data from physical forms into the Collections Management Database.
   Upload artefact photographs, official forms and document into the database.
   Ensure all data entered is consistent, accurate, and aligned with the organisation's data standards.
   Provide regular updates on data entry progress and any issues encountered.
   
2. Data Hygiene & Maintenance:Regularly review and clean up the database to remove duplicates, correct errors, and update information as needed.
   Work closely with the Collections Managers and Curators to ensure all data is up-to-date and accurate.
   Monitor and maintain the organisation's data storage on the server, ensuring that files are organised and accessible.
   Assist in implementing and maintaining protocols for data integrity and security.
   Participate in team meetings and contribute to improving data management processes.
   
3. Document Management:Scan physical registration forms and other related official documents.
   Organise and file scanned documents digitally, ensuring easy retrieval.
   Maintain the physical filing system, ensuring all documents are securely stored and properly labelled.
   
4. Administrative Support:Assist with inventory management, including tracking and updating records and locations of artefacts.
   Assist with collections management tasks by supporting various projects, including artefact store revamps, conservation initiatives, and other operational activities.

JOB DESCRIPTION

Responsible for ensuring the smooth and efficient operation of our centre’s facilities, infrastructure, gallery/exhibitions, attractions, and venue spaces.

Plan and manage all maintenance and operational support matters to ensure availability of exhibits and essential services for daily operations of the Centre/Museum.

Collaborate with internal stakeholders and external service providers to maintain a high standard of functionality, safety, security, landscaping, and cleanliness of the Centre/Museum.

RESPONSIBILITIES

• Responsible for the management of facilities / infrastructure (including Sustainability initiatives), Business Continuity, Term Contracts, Workplace health and fire safety Management, Security, Operations of centre, Exhibitions, attractions, and venue spaces.
• Responsible for the ongoing maintenance and upkeep of the entire centre inclusive of exhibitions, galleries, attractions, and venue spaces.
• Lead and guide a team of technicians, executives, and outsourced term contractors on daily facilities management operations.
• Ensure prompt service recovery for any breakdown of critical equipment and systems to minimize disruption to centre operations.
• Assess, plan, and implement processes to enhance operational efficiency and effectiveness.
• Manage and execute M&E projects within the organization i.e. Retrofitting of existing premises, fitting out of spaces, implementation of sustainability related initiatives.
• Liaise with government agencies and statutory boards on regular audits, project management & development and other facilities related issues. Liaise with internal stakeholders on all facilities, attractions, gallery related issues.
• Management of budget, tender documents, procurement for facility operations and maintenance. Plan, formulate and manage operating and capital budgets. Follow through the tender, evaluation and recommendation of service or term contracts, as well as its administration and management to ensure works are carried out in accordance to planned schedules, budget, and approved specifications.
• Support exploration and implementation of projects related to digitization of SMART and Green FM.

REQUIREMENTS

• Diploma/Degree in, Engineering / Building / Facilities / Management or equivalent.
• At least 5 years of relevant working experience in Operations, Facilities and Project Management.
• Good knowledge of government procurement procedures, building & statutory regulations, and requirements.
• Good communication, interpersonal and organizational skills.
• Familiar with Singapore’s regulatory requirements pertinent to building, environment, and safety standards.
• Strong written and verbal communication skills. Able to conduct professional presentations.
• SCEM, FSM & GMFM certification will be an added advantage.
