THIS IS A ONE-YEAR CONTRACT ROLE
The Curatorial and Collections Department is seeking a dedicated and detail-oriented Collections Data Entry Executive to join our team. In this vital role, you will be responsible for the accurate entry and management of data within our Collections Management Database.
Beyond data and document management, you will provide essential administrative support for a range of projects, including artefact store improvement & maintenance, and artefact conservation initiatives, while assisting with inventory management.

Key Responsibilities:
- Data Entry & Database Management:Accurately input data from physical forms into the Collections Management Database.
Upload artefact photographs, official forms and document into the database.
Ensure all data entered is consistent, accurate, and aligned with the organisation's data standards.
Provide regular updates on data entry progress and any issues encountered.
- Data Hygiene & Maintenance:Regularly review and clean up the database to remove duplicates, correct errors, and update information as needed.
Work closely with the Collections Managers and Curators to ensure all data is up-to-date and accurate.
Monitor and maintain the organisation's data storage on the server, ensuring that files are organised and accessible.
Assist in implementing and maintaining protocols for data integrity and security.
Participate in team meetings and contribute to improving data management processes.
- Document Management:Scan physical registration forms and other related official documents.
Organise and file scanned documents digitally, ensuring easy retrieval.
Maintain the physical filing system, ensuring all documents are securely stored and properly labelled.
- Administrative Support:Assist with inventory management, including tracking and updating records and locations of artefacts.
Assist with collections management tasks by supporting various projects, including artefact store revamps, conservation initiatives, and other operational activities.

- Meticulous with a strong eye for detail
- Highly organised with excellent organisational skills
- Ability to manage multiple tasks efficiently and adapt to new challenges
- Proactive problem solver with a willingness to learn
- Proficient in Microsoft Office
- Familiarity with databases or similar systems is an advantage, but training will be provided for the right candidate
Qualifications:
- Prior experience in data entry, administrative roles, or similar positions is beneficial but not mandatory.
- Higher qualifications or relevant coursework in fields such as Collections Management, Museum Studies, Library Science, and Information Management are advantageous but not essential
