Key Responsibilities:
Administrative Support
- Manage and maintain schedules, appointments, and travel arrangements for executives.
- Prepare meeting agendas, take minutes, and distribute them promptly.
- Handle correspondence, including emails, phone calls, and letters, ensuring timely responses.
- Maintain a well-organized filing system (physical and digital) for easy retrieval of documents.
Office Management
- Oversee office supplies inventory and place orders as needed.
- Ensure smooth office operations, including equipment maintenance and vendor coordination.
- Act as the point of contact for office maintenance, mailing, shipping, supplies, and equipment inquiries.
Coordination and Communication
- Serve as a liaison between staff, departments, and external stakeholders.
- Coordinate and organize events, meetings, and workshops.
- Support HR functions, such as onboarding new employees and maintaining personnel records.
Reporting and Record Keeping
- Assist in preparing reports, presentations, and documents for executive use.
- Maintain accurate records of expenses, receipts, and budgets.
Qualifications:
- Education: Diploma or Bachelor’s Degree in Business Administration, Secretarial Studies, or related field.
- Experience: Minimum of 1-3 years in an administrative or secretarial role.
- Skills:
- Excellent organizational and multitasking abilities.
- Strong written and verbal communication skills.
- Proficiency in office software (Microsoft Office Suite, Google Workspace).
- Ability to work independently with a high level of discretion and confidentiality.
