We are seeking a dedicated, organized, and proactive Personal Assistant to provide high-level administrative and personal support to [Executive Manager]. This role requires exceptional multitasking abilities, a high degree of confidentiality, and a keen eye for detail. As a Personal Assistant, you will be responsible for managing schedules, coordinating tasks, and ensuring that daily operations run smoothly.
Key Responsibilities:
- Calendar Management: Organize and manage the executive's calendar, including scheduling meetings, appointments, and travel arrangements. Ensure all meetings are prioritized and adjusted as necessary.
- Communication Support: Screen and prioritize phone calls, emails, and other communications. Draft, proofread, and send correspondence as needed.
- Travel Coordination: Arrange all aspects of business and personal travel, including flights, hotels, transportation, and itineraries. Handle any travel changes or emergencies as they arise.
- Event Planning: Organize and coordinate both professional and personal events, including meetings, conferences, social gatherings, and special occasions.
- Task Management: Assist with day-to-day tasks and special projects. Follow up on pending items, ensuring deadlines are met and tasks are completed efficiently.
- Document Preparation: Prepare and organize documents, reports, and presentations. Maintain filing systems and ensure that all relevant materials are easily accessible.
- Errands and Personal Support: Perform a range of personal tasks such booking appointments, or running errands to ensure the executive’s personal and professional needs are met.
- Confidentiality: Maintain confidentiality regarding sensitive information and personal matters.
- Other Duties as Assigned: Provide ad hoc support on various tasks as required by the executive.
Qualifications:
- Experience: Proven experience as a Personal Assistant or in a similar role. Experience supporting senior executives or high-net-worth individuals is a plus.
- Skills:Strong organizational and time management skills with the ability to prioritize tasks.
Excellent written and verbal communication skills.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with scheduling software and tools.
Strong problem-solving skills and the ability to remain calm under pressure.
Discretion and the ability to handle sensitive information with the utmost confidentiality.
- Education: High school diploma required; Bachelor's degree or equivalent experience preferred.
