Dulwich College (Singapore) is looking for a SPORTS ADMINISTRATOR (LOGISTICS & OPERATIONS) to join its PE Department. The Sports Administrator will oversee the safe running of sport at Dulwich College (Singapore) by organizing the logistics and operations of the sports department, and ensuring that the sports at the College run smoothly and safely.
The main duties and responsibilities of the role are as follows:
- To lead on all Health & Safety requirements, including the written risk assessments and ensuring the sports facilities at the College are safe and in good working order;
- To ensure the annual inspection takes place to keep all equipment safe and operational and liaising with JLL where necessary, to ensure the safe working of all sports equipment and resources;
- To ensure the smooth running of the CCAs, to be on the ground operationally seeing the students are safe and activities are running smoothly and safely;
- To process the CCAs to ensure there is a clear process of allocating the CCAs for the students;
- Ensure that all sports coaches are safeguarded, and appropriate contracts are in place for the safety of the students. Liaising with all external coaches regarding their respective programmes, ensuring they are aware of the expectations at the College and what their respective safeguarding and coaching duties are;
- To liaise with the transport company and CCA department to ensure all students have the means to get home safely from CCAs and fixtures;
- To allocate fixtures, liaising with staff and schools to ensure the College has a full fixture provision across the College;
- To coordinate the ACSIS fixtures to ensure there are no clashes of facilities and all necessary arrangements are in place for the effective running of the fixture programme. – Pitch bookings, transportation, officials and medical cover;
- To ensure all transport, referees and logistics are in place for all fixtures and events at the College;
- To ensure all fixtures are set up accurately and in good order in all locations for the fixtures at the College and ensure the fixture & CCA experience for all members of the College community is of the highest standards.
- To ensure all bookings are appropriate and made in good order. To ensure that all festivals both on site and away from Dulwich run smoothly, are of the highest standards and safe for the College community;
- To ensure the Sports department keeps to the allocated budget;
- To process all the paperwork for finance to ensure the systems are smooth and invoices are paid punctually, keeping within the College sports budget;
- To receive all goods and to make sure there are appropriate systems in place to keep equipment safe and in good order, liaising with procurement regarding all purchases for the sports department;
- To ensure all equipment used in PE lessons and CCAs is safe, clean and functioning. Ensuring staff have the resources to deliver outstanding lessons and CCAs. Assist in the purchase of equipment and maintain inventory of all equipment;
- Put systems in place to ensure the facilities and equipment are kept in good order;
- Being part of DCSG Health & Safety Committee and the Health & Safety lead for sports provision on the implementation of BSI ISO45001 Health and Safety Standard in College.
All other duties commensurate with the role.
