Job Description:

• Office administrative duties and office procedures, operations and processes
• Reporting directly to Director
• Secretarial support to Director and head of departments
• Responsible for liaising: with landlord on tenancy agreement matters;
• Office access card, phone, office renovations etc
• Stationaries and office supplies inventory
• Meeting appointments
• Arranging for staff welfare eg lunch and birthday celebrations
• Maintaining filing systems both physical and online
• Arranging accommodation/flights/entertainment for incoming visitors
• Assisting in HR matters like payroll, performance reviews, application for work passes
• Follow-up with customers for payments due.
• Supports overall office operations for all company staff.
• Ensure daily administrative and secretarial support to the team, including daily correspondences.

Requirements:

• Degree / Diploma in Accounting or equivalent with 3 to 5 years of working experience in construction industry
• Able to work independently
• Perform other ad-hoc assignments that are assigned by the management
• Good interpersonal & communication skills
• Basic knowledge of GST rules and regulations
• Proficient in Microsoft office as Excel and Word
• Proficient in Accounting Software such as MYOB, Quickbook
• Able to commence work immediately or within short notice

Job Description:

• Handle a full set of accounts for the company.
• Managing the financial position of the company and directly reporting to the senior management.
• Prepare reconciliation for bank balances payables, inter-company balances etc.
• Prepare cash flow reports for management review.
• Manage cash flow and payment.
• Maintenance of capital budgeting on corporate level and engaging in daily/weekly capital budgeting meetings with senior management.
• Manage day to day accounting, invoicing, payroll, cash management and internal financial reporting.
• Review all invoices and make the relevant payments in a timely manner to relevant suppliers. Follow-up with customers for payments due.
• Manage cash flow and monitor AP/AR.
• Manage monthly payroll processing.
• Handle petty cash.
• Reporting for GST and ensure tax compliance.
• Preparation of audit schedules and reporting.

Requirements:

• Diploma/ Degree in Business Administration, or related field.
• At least 3 years of experience in HR and admin in Construction Industry.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
• Comprehensive HR knowledge, especially practical experience in employee relations, recruitment, performance management and employee development.
• Must have working experience in handling construction workers .
• Self-motivated with the ability to deliver under pressure and without constant oversight.

Job Description:

• Provide day-to-day support for HR functions.
• Maintain and regularly update master database (personal file, personal database & etc.) of each employee.
• Assist in recruitment & selection activities.
• Administer onboarding / exit clearance activities
• Handle work passes application, renewal and cancellation.
• Maintains company organization chart and employee contact list.
• Liaise with insurance company on staff insurance and claims
• Administer training related matters including coordination or enrolment of internal & external courses, update & maintain training record etc.
• Handle disciplinary issues of workers.
• Assists to prepare and submit IR8A for all operational workers.
• Manage workers’ dormitory.
• Handle company certificate (BCA/ Slots/ Bizsafe) & Company Insurance, WICA
• Perform general office administrative duties such as stationary / pantry requisition and maintenance of office equipment / facilities
• Any Ad-hoc assigned by your superior.
