We’re seeking an HR & Administrative Assistant to support our HR processes and daily administrative tasks. In this role, you’ll play a vital part in keeping our small yet dynamic team organized and efficient. The nature of our business also involves collaborating with external stakeholders and contractors, so maintaining good rapport and clear communication is key. This position is perfect for someone who enjoys variety, values teamwork, and thrives in a supportive, people-focused environment.
Key Responsibilities Human Resources Support:
- Assist the Director in managing recruitment processes, from posting job openings to arranging interviews and onboarding new hires.
- Maintain employee and contractor records, including contracts, leave, and attendance.
- Support the Director in processing freelancer payroll and managing payments, ensuring accuracy and timeliness.
- Handle routine HR administrative tasks such as leave management and responding to staff HR-related queries.
- Assist in fostering a positive workplace culture by supporting employee engagement initiatives.
- Help with tracking and monitoring performance management processes.
Administrative Support:
- Respond to phone calls, WhatsApp inquiries, and client emails, assisting with bookings and general queries.
- Maintain and update internal systems, ensuring accurate and organized records.
- Provide administrative assistance to the team as needed, including scheduling and task management.
Operational Coordination:
- Support project managers by coordinating with photographers, videographers, and external contractors for assignments.
- Assist with administrative, and logistical arrangements and support to the project leads.
What We’re Looking For
- Polytechnic Diploma or equivalent.
- At least 1 year of relevant HR, customer service and/or administrative experience preferred.
- Basic understanding of HR & payroll processes; experience withsupplier or contractor management is a bonus.
- Excellent communication skills in English (additional local languagesare a bonus).
- Proficiency in Microsoft Office or Google Workspace tools.
- A proactive, empathetic, and detail-oriented team player who thrives ina collaborative environment.

Working Hours
- 5-day work week (Monday to Friday, 9:30 AM to 6:30 PM).
- Initially, your presence at our vibrant office is crucial. Given the nature of the role, constant coordination with our operational maestros is essential. But fret not! We value flexibility and well-being. As we evolve, potential work-from-home arrangements might be on the horizon, given the right circumstances.
