Job Objectives
- The role is to provide administrative support to the Chief Investment Officer (CIO) and General Manger (GM) (Investment) alongside general office management duties primarily, and to provide additional support to company team members as directed, to ensure that company goals and objectives are accomplished and that operations run efficiently.
- The candidate is required to have strong organisational and communication skills, be detail oriented, and have good interpersonal skills.
- The role also requires the ability to handle sensitive and confidential information, and have a flexible attitude with a willingness to occasionally be on call outside of office hours.
Job Responsibilities
1. Work supporting the Chief Investment Officer and GM (Investment):
- Calendar management - professional scheduling of internal and external meetings
- Answering phones, screening of calls and directing to the appropriate person.
- Support in email correspondence where required.
- Manage and arrange work travel logistics and activities, including accommodations, transportation, and meals.
- Preparation of travel expense claims
- Booking of meeting rooms.
- Printing and binding of research materials.
- Format information for internal and external communication – presentations, reports, memos.
- Run ad-hoc errands as requested.
2. General administration and office management duties:
- Provide administrative and office support, including the purchase and maintenance of office stationery inventory, printing and binding materials.
- General administration duties such as filing, scanning documents, faxing.
- Coordinate with support staff to ensure office cleanliness is upkept.
- Organize team communications and plan events, both internal and off-site.
- Preparation of travel expense claims and travel insurance arrangements (where required) for equity analysts.
Requirements
- 5 or more years of experience in administrative roles reporting directly to senior management.
- Strong time-management skills and an ability to organize and coordinate multiple concurrent projects.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office productivity tools and an aptitude for learning new software and systems.
- Ability to maintain confidentiality of information related to the company and its employees.
