Job Purpose
The Accounts Cum Administrative Assistant is responsible for providing administrative support to the organization and its subsidiaries’ accounting and finance functions. The role also includes general office administration tasks to ensure smooth operations and compliance with company policies.
Key Responsibilities
1. Accounting Responsibilities:
- Accounts Payable and Receivable:
- Process supplier invoices, employee reimbursements, and customer payments.
- Monitor and follow up on overdue invoices.
- Ensure timely and accurate payment processing.
- Bank Reconciliation:
- Reconcile bank statements with internal financial records on a monthly basis.
- Identify discrepancies and report them for resolution.
- Data Entry:
- Maintain accurate financial records by entering accounting data in MYOB accounting system.
- Prepare and process journal entries when necessary.
- Expense Tracking:
- Track and verify company expenses, ensuring proper documentation and approval.
- Assist in preparing expense reports.
- Assist in Month-End and Year-End Closures:
- Help prepare documents and reports needed for monthly, quarterly, and annual financial closing.
2. Administrative Responsibilities:
- Office Administration:
- Handle daily administrative duties such as answering phone calls and managing emails.
- Issue purchases and sales orders.
- Stock management.
- Filing and Documentation:
- Organize and maintain physical and digital filing systems for financial and administrative documents.
- Ensure proper filing and archiving of invoices, receipts, contracts, and other important records.
- Staff Support:
- Provide administrative support to various subsidiaries as needed.
3. Compliance & Reporting:
- Support Audits and Reviews:
- Assist with the preparation of documents for internal and external audits.
- Statutory Filings:
- Assist in the preparation and submission of statutory filings such as GST, CPF, and other compliance-related reports.
Qualifications & Skills
- Education:
- Minimum Diploma in Accounting, Finance, Business Administration, or a related field.
- Experience:
- 1-2 years of experience in accounting and administrative roles, or similar.
- Fresh graduates are welcomed to apply.
- Skills:
- Proficiency in Microsoft Office (Excel, Word, Outlook).
- Familiarity with accounting software MYOB.
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Attention to detail and ability to work with accuracy under tight deadlines.
