Job Overview: The Administrative Assistant plays a crucial role in providing support to the overall operations and ensuring smooth daily administrative functions within the Singapore Plumbing Society. This role involves assisting with the management of facilities, member services, and office operations while ensuring the efficient and effective implementation of administrative processes.
Key Responsibilities:
- Office and Facilities Management:
- Manage office supplies and maintain inventory.
- Coordinate with vendors for office maintenance and repairs.
- Ensure office facilities are well-maintained and inspect regularly.
2. Member Services:
- Maintain and update member records.
- Assist in communication with members (emails, newsletters).
- Support the organization of member events and meetings.
3. Administrative Support:
- Handle general office tasks such as filing, answering phone calls, and managing emails.
- Assist with travel arrangements, meeting scheduling, and other logistical needs.
- Prepare basic reports and documents as required.
4. Project and Event Assistance:
- Help organize and support events, workshops, and meetings.
- Assist in the preparation and coordination of event materials.
Skills and Requirements:
- Strong organizational skills and attention to detail.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint).
- Good communication skills (both written and verbal).
- At least 1 year of administrative or office experience.
- Able to work independently and as part of a team.
