OUTBOUND

• Pick goods accurately from specified locations
• Label, pack & place goods neatly in Outbound area
• Complete Pick & Pack for daily deliveries
• Ensure proper handover of goods & documents, to & from delivery contractor
• Submit completed documents to Customer Service team, after verification

INBOUND

• Acknowledge receipt of goods upon handover by freight forwarder/delivery contractor
• Check physical condition (ie. Quantity, condition) and segregate goods by lot/serial number
• Put-away received items into assigned locations within stipulated timeframe.
• Indicate goods receipt information clearly on document (ie. Packing List/Invoice), and submit to Customer Service team within stipulated timelines
• Dispose unwanted materials at assigned areas within the same workday

WAREHOUSE & INVENTORY

• Maintain the warehouse in a clean, neat & tidy condition at all times
• Housekeep locations to maximize storage capacity & to facilitate easy picking
• Segregate unsalable goods in Quarantine location
• Execute weekly cycle count according to scheduled plan

• Developing and implementing inventory control systems and practices.
• Coordinating of purchase orders, stock transfers, deliveries, tagging, and processing.
• Tracking inbound and outbound orders to prevent overstocking/ out-of-stock (OOS)/ misallocation.
• Analyzing and reviewing supply chain data to identify and resolve issues.
• Generating purchase and pricing reports, supply chain analysis, and inventory management systems.
• Record daily deliveries to reconcile inventory.
• Performing regular stock checks and reporting any issues to the management.
• Maintaining and updating records of purchase orders, pricing reports, and inventory records.

Requirements:

• Diploma in logistics, business administration, or similar preferred.
• A minimum of 2 years of experience in retail, warehousing, logistics, or similar.
• Excellent knowledge of inventory management system such as SAP Hana.
• Exceptional understanding of inventory management practices such as ABC analysis and cycle counting.
• Good analytical and logistical thinking abilities.
• Strong written and verbal communication skills.
• Exceptional collaboration and negotiation abilities.
• Excellent time management and organizational skills.

Job Description:

The Customer Service personnel is responsible for providing post-sales support, to meet customer needs. The incumbent has to establish good rapport, both externally with customers and internally amongst co-workers.

• Handle all incoming phonecalls/emails/faxes, promptly and professionally

• Plan and coordinate daily deliveries & collections

• Process sales orders, delivery notes, invoices, quotations, debit notes and credit notes

• Prompt follow-up and response, on customer backorders, contracts, enquiries and requests

• File all required records promptly and in proper sequence

• Work closely with internal teams (warehouse, operations, sales, technical and finance) to resolve customer issues

• Ensure conformance to required Standard Operating Procedures

• Provide administrative support, as and when required

• Act as backup for other team members, as and when required

Qualifications Required:

The Client Management Specialist is the sole point of contact representing the organisation in managing the assigned Principal Accounts by providing post-sales support and / or performing warehouse / operational tasks in fulfilling customer needs. The incumbent has to establish good rapport, both externally with principals and internally amongst co-workers, and support the Key Account Executive on all aspects of managing the group of accounts.

· Manage the key operational activities pertaining to the day-to-day operations of the defined Principal Accounts.

· Ensure that all reports and material master data are up to date and in order.

· Map out process flow and work instructions pertaining to business nature of the key account.

· Manage feedback logs and manage escalation cases with CAPA recommendations to Key Account Executive.

· Conversant with Warehousing, Inventory, Inbound, Outbound and Customer defined work process and handling requirements.

· Adhere to procedures in compliance with Good Distribution Practice for Medical Devices (GDPMDS).

· Ensure work processes are complaint with safety and regulatory requirements.

· Ensure that receipt, storage, dispatch and retrieval of supplies are in accordance to company’s Standard Operating Procedures.

· Ensure compliance to work instructions and company’s Standard Operating Procedures.

· Undertake any other reasonable duties at the request of the reporting manager / executive.

· Take the lead in the efficient running of daily operations.

· Drive initiatives for improving inventory accuracy.

· Support the inventory control function within the organisation through inventory cycle counting with system and physical location audits.

· Assist the development of process improvements, system enhancements and special projects that will improve the overall service performance and profitability of the Organization’s business.

· Ensure that all internal and externally defined Key Performance Indicators are met.
