Job Description

• NOC Financial Aid & Awards - Collate applications and process submissions; schedule and host interviews; compile interview results; collate acceptance letters, process fund disbursements, collate and file post-program reports/letters to donors
• VIP Grants - Collate applications and process submissions; schedule and host interviews; compile interview results; collate acceptance letters, process fund disbursements, collate and file mid-term and final reports, recover unused funds
• NHouse - Collate and process residents’ applications; process subsidies/claims for student leaders/staff, coordinate interviews for student leader selection & staff appointments; coordinate logistics for in-house events (e.g. venue booking, procurement, event registration, etc.).
• Alumni Relations - Pre and post event support, including sending invitations and collating RSVPs, logistics coordination (e.g. venue booking, procurement, event registration, etc.).
• Data management - Maintain/assist in data entry for Alumni, Financial Aid and VIP grants (e.g. events registration lists, alumni contact updates, VIP project tracking, report generation and compilation).

This is an hourly rated position.

Qualifications

Job Description

The Health Intervention and Policy Evaluation Research Centre (HIPER) (https://hiper.nus.edu.sg/) at the SSHSPH, NUS, is seeking to hire a highly organized and detail-oriented research assistant to support both administrative and financial functions within our research program.

This hybrid role will assist with a variety of administrative tasks, including scheduling, documentation, and communication, while also providing financial support in areas such as budget tracking, expense processing, and financial reporting.

The successful candidate will be proactive, capable of managing multiple tasks simultaneously, and eager to contribute to the success of the research program.

Key Responsibilities

Administrative Support:

• General Office Management:Provide administrative support, including scheduling meetings, and preparing meeting agendas.
• Event Coordination: Help coordinate events, workshops, and courses, including managing and tracking applications, tracking payments, booking venues, preparing materials, managing participant lists, and liaising with participants.
• Communication: Serve as a point of contact for internal and external stakeholders by managing the HIPER email account, responding to inquiries and providing timely information related to the HIPER department.
• Travel & Logistics: Assist with the coordination of travel arrangements, accommodations, and reimbursements for staff and guest speakers.

Financial Support:

• Budget Assistance: Support budget monitoring and tracking of expenditures for the research program. Ensure that financial transactions align with the approved budget.
• Invoice & Payment Processing: Process invoices, track payments, and maintain records of financial transactions, ensuring timely and accurate payment for internal transfer, guest speakers, and contractors.
• Expense Reconciliation: Assist with reconciling program-related expenses, credit card statements, and receipts.
• Financial Reporting: Assist to prepare basic financial reports, including monthly expenditure summaries and budget forecasts, to facilitate financial oversight and decision-making.
• Reimbursements: Process reimbursement requests, ensuring proper documentation and adherence to policies.

Cross-functional Support:

• Record-Keeping: Maintain an organized filing system for both administrative and financial documents, ensuring all documents are up-to-date and easily accessible.
• Data Entry and Reporting: Input and update data, maintain spreadsheets, and generate summaries and reports as needed to support activities and program management.
• Ad-Hoc Support: Assist the Center Manager and other staff with ad-hoc administrative and financial tasks as required to support the smooth operation of the program.

Working Conditions:

• Full-time position (42 hours per week).
• Standard office hours with occasional flexibility for program-related events or deadlines.

Qualifications

Qualifications:

Job Description

The incumbent will provide administrative support to the Undergraduate Studies Section in the Dean's Office, Faculty of Science. Duties and responsibilities include, but are not limited to the following -

1) Faculty Co-ordinator for Study Abroad Programmes (SAP)

• Plan, manage and coordinate SAP which covers university-wide and faculty-level global partnership with overseas universities.
• Work closely with Global Relations Office (GRO) on the student exchange programme (SEP) allocation and student placement.
• Manage the administrative processes that include student recruitment, selection interview, pre-departure briefings, module mapping and credit transfer for outgoing students in all SAP.
• The range of programmes that the team handles include the following: Student Exchange Programmes (SEP), French Double Degree Programme, Global Classroom, Summer/Winter Programmes, Global Science Summer Programmes, Incoming/Outgoing Summer Undergraduate Research Opportunities Programme in Science (UROPS), Non-graduating, non-exchange programmes, Financial Assistance Schemes (e.g., NUS Awards for Study Abroad, Science Student Overseas Exposure Fund)

2) Student support for outbound and inbound students

• Handle student enquiries/appeals efficiently.
• For inbound students, to also assist in the logistics required (e.g., accommodation).

3) Publicity

• Manage the Faculty's SAP publicity materials
• Update collaterals, website, student portal etc to ensure information is accurate and timely.

4) Others

• Coordinate and answer enquiries (counter, telephone, email) from students and the public.
• Take minutes for Undergraduate Studies/Student Life meetings.
• Provide assistance at University/Faculty level events such as Open House, Freshmen Orientation Briefing, and Commencement.
• Any other duties as assigned by the Vice Dean.
