DUTIES AND RESPONSIBILITIES
- Answer and direct calls to respective staff
- Attend to walk-in couriers and deliveries or guests, general queries from staff
- Handle incoming and outgoing mails/despatch including registered mails at Post Office
- Manage documents (Invoices, data entry and filing system)
- Maintain, source and purchase office stationeries, supplies, including internal/external orders for festive seasons (Chinese New Year, Mid-Autumn Festival & etc)
- Obtain, review & negotiate for competitive price, delivery schedule, payment terms, good products and services from Vendors and ensure prompt delivery
- Administer and run an in-house e-Shop system (Ordering & issuing of staff birthday benefits, maintaining inventory)
- Provide support for biometrics (Access Security System) and printer codes
- Manage, review & update company’s facilities and office equipment (Contract renewals, repair, maintenance & etc) ;(e.g. copiers, faxes, air-conditioning, lighting, telephone, fire extinguishers, etc)
- Supervision of daily housekeeping team, upkeep & setting up of meeting venues
- Liaise with building management for related services (Carpark matters and enquiries, maintenance support, vendors/contractors as required)
- Perform any other relevant ad-hoc duties as assigned by the Manager
REQUIREMENTS
- Minimum a Nitec/Higher Nitec/Diploma with 3 years of relevant administrative experience
- Able to work independently and as part of a team
- Good interpersonal skills, takes initiative, responsible
- Proficient in MS Office applications
