Reservations

· Prepare Daily Report for PPSSBR/PRSSIN

· Managed incoming calls for reservation department and replying to any reservations enquiry.

· Check and communicate incoming reservations special request with both properties operating departments

· Tracing of signed confirmation and signed credit card authorisation forms for bookings made through phone and email.

· Check daily room assignment for bookings that came through SiteMinder.

· Process bookings coming through Brands website, Ctrip, Flight Centre and Synxis.

· Cancel bookings with invalid credit card provided.

· Reply to guest’s enquiry from online booking channels

· Email to Front Office team to charge 1st night deposit / full deposit for all bookings received.

· Report to OTA website (Booking.com extranet) for unsuccessful deposit transaction

· Follow up on reported unsuccessful transaction and cancel the booking accordingly on timely manner.

Primary Responsibilities:

Business Development

• Identify business trends and marketing opportunities that can improve Beach Road serviced suites performance.
• Continuously solicit for new business that expands our client base using action plans focused on the market segment identified by the Director of Sales.
• Prospecting and growing an account list, handling incoming leads, and closing sales.
• Work closely with other sales associates and calling in on important customers and establishing multiple levels of contact within the customer’s organization.
• Participate in sales meetings by sharing latest market trends and new business development opportunities and activities.

- Treating all guest with respect and handles rooms reservations or walk-in requests, registration processes or complains with professionalism, paying special attention to Long Staying Guest (LSG) and VIPS.

- To develop and maintain close business contact with the in-house guests to provide a positive impression.

- Handles all incoming calls from internal or external parties to address the needs of all guests. Ensures that every call received is attended to promptly and pleasantly, takes messages accurately and delivers all wake-up calls request timely in accordance with Pan Pacific guidelines as well as doing follow up call with LSG to obtain guest requirement during stay, feedback and special preferences.

- Ensure timely reply to any guest enquiries via websites and email enquiry.

· Handle full cycle of off-boarding (resignation, termination and dismissal) and liaise with payroll on payment of last salary.

· Ensures and implements locker maintenance plan to ensure locker room and lockers are well maintained and conduct regular checks.

· Manage Long Service Awards, Staff Recognition Programmes and assist in any Staff Engagement Programmes for the associates.

· General office administration (stock level of service pins, name tags, stationeries, stamps etc)

Others

· Assist with planning, organising and co-ordination of all associate relations programs as and when required.

• To prepare the hotel’s annual Front Office budget and submit to management for approval. The annual budget should include manpower requirement, operating expenses, etc. On the budget’s approval, the incumbent rolls out the plan.
• Control in area of direct responsibility, all budgetary items, overheads and operating expenses.
• To develop, implement Standard Operating Procedures within your areas of direct control.
• Ensure that all quality, service, and controls conform to established standards as set by the General Manager, as well as Pan Pacific Hotels Group (PPHG) policies and procedures.

• Assist with recruitment, counselling, and disciplinary action, monitoring of staffing levels and payroll costs.
• Show clear and measurable results in the forward development of the department. Measurement will be determined by PPHG Corporate Office on an annual basis and may be based on Guest Satisfaction, Staff Engagement, Financial results or other measurement systems as may be deemed appropriate.
• To be overall in charge of the GHA program and to ensure all associates are properly trained.
