• Receive and file incoming letters and documents;
• Manage office and room supplies ensuring adequate stock at all times;
• Administrative tasks including photocopying, filing (electronic and manual files), collating reports and information, preparing and distributing papers and other general administration duties for the management team.
• Oversee the co-ordination of diary management, meeting preparation, client greetings and all other admin requirements for the General Manager;
• Ensure Executives and Department Heads are aware of upcoming meetings;
• Ensure meeting rooms are clean and appropriately presented;
• Welcome and receive visitors;
• Assist in maintaining a safe and secure work environment;
• Manage all travel plans for the General Manager;
• Ensure telephone is answered in a timely manner;
• When called upon, take minutes for respective departmental meeting;
• Screen telephone calls, take messages, answer enquiries from staff and customers, and redirect call where appropriate;
• Co-ordinate and project manage projects with the Hotel General Manager;
• Work in a supportive role to the General Manager and other management staff as to be advised;
• Attend daily HOD meeting;
• Attend daily Executive Office meeting;
• To collate and share Guest Feedback daily during the HOD meetings and follow up action by the various departments.

Reporting to the Revenue & Reservations Manager, the incumbent will be required to:

• Handle guest telephone and email inquiries, and improve guest experience score.
• Offer appropriate room types, price inclusions, upsell and handle price objections.
• Ensure all reservations are thoroughly reviewed prior to guest’s arrival
• Review daily reservation booked, reservation cancelled, and arrival report
• Manage group block activities, e.g. cut-off dates, rooming lists, pick-up, wash, etc.
• Track sales and promotions, and provide feedback to Sales & Marketing departments.
• Manage department’s roster, and guide team members in executing operational tasks.
• Advocate Revenue Management culture across all hotel departments
• Communicate rates, monitor call quality, and manage forecast, pick-up and actual revenue data.
• Promote working culture around the brand’s five core values of Ownership, Excellence, Integrity, Empathy & The Art of Fun.

3. Assist in coordinating with Reception Colleagues on group arrivals and departures in the absence of the Assistant Managers.

4. Attend to guest requests/ feedbacks and to make the best effort to ensure the guests’ positive stay experience.

5. Assist in conducting shift briefings and provide feedback and information to the team in the absence of the Assistant Managers.

6. Performs any other duties assigned by Front Office Manager.

1. Perform all Front Desk related duties including but not limited to check-in, check-out, currency exchange, credit checks, guest folio checks, guest profile maintenance and room allocation in accordance with departmental standards.

2. Perform all Telephone related duties including but not limited to answering phone enquiries, monitoring internal job requests, ensuring wake-up call requests are promptly acted upon, handles emergency communications within the hotel, and any other tasks that are in accordance with department standards.

3. Coordinate with Housekeeping Department on the room turnover and monitor bedding arrangements as well as room situations.

4. Other tasks and responsibilities as may reasonably be required for the needs of the business and to fulfil your role.

Park Regis Singapore is currently recruiting for an experienced Human Resources Manager who is able to motivate, lead & support an experienced team, at our 202-room, 4.5 star hotel.

This position presents the opportunity to lead the Human Resources strategies for the Hotel, including a very exciting rebranding in 2024. Responsibilities include managing all Human Resources functions and activities, such as:

• Talent Acquisition: Oversee recruitment, selection, and retention processes.
• Talent Development: Evaluate, implement, and design training programs to enhance organizational capability in alignment with business strategy and goals.
• Reward and Recognition: Drive and regularly review HR solutions, including reward and recognition, employee wellbeing, talent management, and leadership programs.
• Change Management and Development: Continuously review and enhance HR operations and people strategies to maximize outcomes for both individuals and business performance.
• Assist with the rebranding of the Hotel
• Finance – Budgeting and forecasting in the people arena

Skills and experiences that will help you excel in this role:

• Previous experience in a Human Resources role, preferably in a Hotel/Hospitality environment will be well regarded
• Formal HR qualifications
• Excellent written, verbal and interpersonal communication skills
• Demonstrable knowledge of employment advertising such as Job Street and Linkedin
• A good level of proficiency in Microsoft Office Suite, Canva, HRIS
• The ability to handle multiple projects and requests for assistance in an organised manner
• Confidence to work independently and also enjoys collaborating with others
• Genuine desire to learn and grow within the team, taking a “can-do” attitude
• Ability to maintain professionalism and confidentiality of information
• Ability to work under pressure and meet deadlines
