We are looking for a motivated and experienced Senior Operations Executive to oversee and enhance the operational efficiency of our medical centres, delivering excellence services to patients.
Job Summary
The Senior Operations Executive will be responsible for managing the daily operations of our medical centres, ensuring seamless, smooth and efficient service delivery. This role involves overseeing administrative functions, enhancing operational processes, and working closely with medical and administrative staff to maintain high standards of patient care and service excellence.
You will work closely with the Director of Operations & Marketing to drive workflows, operation readiness and set up, cyber and data security policies, and delighting patients’ satisfaction.
Key Responsibilities
1. Operational Management:
- Oversee day-to-day operations of multiple medical centres, ensuring smooth and hassle-free execution of daily clinical operations
- Monitor, evaluate and implement operational policies and procedures to improve efficiency and service quality.
- Monitors and manage the delivery and execution of all operational systems, processes, and infrastructure, including facilities management and IT resource to ensure smooth delivery of services to staff and patients.
2. Compliance and Quality Assurance:
- Ensure compliance with healthcare regulations, accreditation standards, and organizational policies.
- Conduct regular audits and inspections to maintain quality assurance and identify areas for improvement.
- Point of contact for Singapore Regulatory and Government Bodies, and coordinate all communications and submission with various departments and functions in SHG to the authorities e.g. MOH, CSA
- Maintain proper documentation and inventory checklist in compliance with regulatory requirements and standards
- Assist and support in MOH Audits and Cybersecurity Certifications, and any other quality and certification audits.
3. Resource Management:
- Manage the allocation and utilization of resources, including medical supplies, equipment, and stationaries
- Coordinate with suppliers and vendors to ensure timely procurement, plain and monitor maintenance of schedules including all equipment and services contracts, and quotations
- Maintain all equipment status and vendors checklist.
- Maintain IT asset inventory list.
4. Stakeholder Collaboration:
- Collaborate with medical professionals, administrative staff, and external stakeholders to achieve operational goals.
- Facilitate effective communication and coordination between different departments and centres.
5. Patient Experience:
- Ensure high standards of patient care and satisfaction by monitoring service delivery and addressing any issues promptly.
- Implement initiatives to enhance patient experience and streamline patient flow within the centres.
- Provide help and support in delighting patients and improving SHG customer reviews.
Qualifications
- Bachelor’s degree with minimum 5 years’ experience in operations management in medical centres. Entry Level candidates will be considered for Operations Executive position.
- Well versed with Plato Clinical Management System as an Administrator
- Good analytical, organisational and communication skills (verbal and written), strong time management skills and the ability to multi-task
- Strong project management skills
- Possess strong interpersonal skills to communicate constructively with colleagues, peers and subordinates.
- Able to exhibit initiative, demonstrate an ability to work independently, and manifest good team-spirit qualities.
- Proficient in Microsoft Word, Excel and PowerPoint
- Strong understanding of IT will be added advantage.
