Reporting to the Manager, you will provide administrative and programme support for
· SCS Survivorship Centre’s operation
· Cancer Support Services (CSS) under the Psychosocial Service Department
· Help the Children and Youth Programme (HCYP) under the Psychosocial Service Department
You will play a pivotal role in providing essential support to individuals and families affected by cancer. Your primary focus will be on membership management and providing operational support and coordination across all three portfolio domains. Serving as the primary point of contact for various inquiries, you will ensure the smooth operation of the required scope, facilitating a seamless experience for relevant stakeholders, including support group members, caregivers, vendors, and beneficiaries.
Key Responsibilities:
Cancer Support Services Support (70%):
· Act as the key person for handling membership registrations efficiently.
· Address general enquiries related to support groups with empathy and professionalism.
· Maintain the membership database, ensuring accuracy and up-to-date information.
· Oversee the support group email domain and manage related tasks.
· Respond to programme enquiries and route them appropriately.
· Manage the issuance and tracking of welcome kits for members.
· Serve as one of the point of contact for members visiting the centre.
· Assist in setting up support group sessions.
· Support backend tasks such as email blasts, WhatsApp communications, and result collation for support group related programmes and events
· Maintain inventory of collaterals and ensure availability.
Survivorship Centre Support (15%):
· Administer payment-related tasks including processing, invoicing, and financial documentation.
· Manage pantry inventory, ensuring adequate stock levels and timely replenishment.
· Conduct maintenance and troubleshooting of air conditioning systems and other appliances.
· Oversee the operation of the franking machine and related administrative tasks.
· Coordinate cleaning vendor schedules to maintain cleanliness standards.
· Supervise the donation box, including collection, recording, and appropriate handling of donations.
· Attend to Fit Kit walk-in queries with professionalism and empathy.
· Manage access to the office door and maintain accurate records.
· Upkeep inventory records of office assets and conduct periodic audits.
· Maintain collaterals inventory and ensure availability as needed.
· Ensure cleanliness and tidiness of the Survivorship Centre facilities.
· Assist in administrative tasks related to monthly reports, including tracking visitation metrics.
Help the Children and Youth Programme Support (15%):
· Handle monthly tutor submissions accurately and on time.
· Assist in the annual tuition application process efficiently.
· Provide support in the application process for achievement awards.
· Conduct background checks for tutors as required.
Key Requirements:
· Diploma in a related field of study/ Nitec and Higher Nitec
· Strong administrative, operations, organizational and multitasking abilities
· Familiar with Microsoft Office, especially Word, Excel and Powerpoint (IT Savvy)
· Collaborative, proactive, strong initiative and able to work at a fast pace when required to
· Able to work on weekends to support teammates for events
· A second language will be helpful – Chinese, Malay or Tamil
