Summary:
We are seeking a motivated IT professional to join our team as Technology Executive – Group IT Operations & Process Automation. The ideal candidate will have strong background in hardware and software support, along with good knowledge of Microsoft 365 security products, including Entra ID, Intune, and Defender. The candidate will be responsible for the management an outsourced IT vendor for IT Infra and Helpdesk support of 150+ users across 8 countries.
In addition, the candidate is an avid learner with a keen interest in deepening development skills in MS Office & Power Platform with the objective of implementing automated processes and workflows to raise efficiency and foster continuous improvement in IT Operations and other business areas. This role also offers an exciting opportunity for someone eager to promote a culture of knowledge sharing by acting as a champion for MS productivity tools by seeking innovative ways to use MS Office and Copilot AI to enhance productivity, and sharing practical tips and guides to empower internal users.
Key Responsibilities:
- IT Operations - the management an outsourced IT vendor for IT Infra and Helpdesk support of 150+ users across 8 countries.
- Design and development of automated processes & workflows to improve IT Operation and other business areas tasks/ reports using MS Power Platform apps.
- Assist Technology Manager – Business Application in data analysis/ reporting tasks using Power BI.
- Identifying and generating practical tips/ guides on MS Office apps – to share technical knowledge to non-technical internal users.
Qualifications and Experience:
- Diploma in Information Technology, Computer Engineering or equivalent.
- Minimum 1-2 years working experience as IT Operations officer providing end user support in the MS 365 environment.
- Understand the MS 365 cybersecurity solution set including Entra ID, Intune, Defender.
- Proven work experience as a designer and developer of workflows automation using the MS Power Platform.
- Strong commitment to professional excellence and self-starter approach to continually acquire new IT skills and knowledge, including the use of AI.
- Working knowledge of any ERP systems and experience with data analytics using Power BI would be a plus.
Requirements
IT Operations Tasks/ Skills
- Liaise with outsourced IT & Infra Helpdesk/Security Monitoring vendor to ensure consistent service levels, according to set IT policies and procedures, to internal users for all office locations of the Group.
- Perform general trouble-shooting on IT hardware and software products.
- Responsible for and liaison with outsourced IT vendor for Technology system access/ revoke requests, which includes the setting up and deployment of new PC/laptops/tablets.
- Understand concepts pertaining to the MS 365 cybersecurity product suites including Entra ID, SSO, Intune, Defender and security policies related to Teams/Sharepoint and Email. Conduct discussions with IT vendor on on-going cybersecurity risks and actions required.
- Track and report on service issues logs raised to outsourced vendors such as IT Helpdesk and ERP system vendors and provide liaison between business users and vendor consultants for timely turnaround and resolution.
- Author and maintain IT operations schedules and procedure guides, user manuals and systems documentation to support ongoing operations.
- Develop & collate online surveys for internal user satisfaction with IT Helpdesk service for continuous improvements.
- Provide internal users with tips/guidance on Helpdesk matters and MS Office usage.
MS Power Platform Development Tasks/ Skills
- Competent in MS Office productivity tools. Able to write macro scripts for Excel.
- Able to write Powershell or other methods to perform CRUD functions within MS Admin Centre.
- Good communication skills to work effectively with internal users to analyse, to document business processes using ‘swim-lanes’ via Visio or a similar tool for IT Operations and other process improvements.
- Development of workflow automation solution using MS Power Platform including Powershell, Forms, Power Automate integrating with Sharepoint.
- Data analytics and reporting (using Power BI or other means) – identify and develop automated methods of extracting data from MS Admin Centre and other online portals (eg. software licence portals) to provide IT Operations reports and graphs for Finance (cost allocations) and other stakeholders.
- Author and maintain user manuals and systems documentation for the developed workflows.
- Be resourceful in seeking out technical knowledge required for development, include the use of AI tools.
- Establish engagement with business stakeholders to identify continuous improvement and value-added opportunities.
