Role Description
TG Energy Trading Pte. Ltd. is currently looking for a full-time Administrative Assistant to manage all administrative matters. The incumbent will be reporting to the HR and Admin Manager.
Location: 50 Raffles Place
Working Hours: Monday to Friday, 8.30am to 5.15pm
Employment Type: Permanent, Full-time
Responsibilities
- Oversee all daily office operations and ensure smooth functioning of administrative processes.
- Provide secretarial support for other staff.
- Prepare and disseminate correspondence, memos and forms.
- Liaise with external vendors and service providers for office-related matters.
- Liaise with corporate secretary on corporate secretarial matters (e.g. AGM).
- Collaborate with the IT team in HQ and external vendors on all IT matters.
- Manage inventory and procurement of office supplies, which include stationery and multimedia equipment.
- Coordinate office events, meetings and appointments.
- Liaise with Tokyo Gas Asia’s accounting team on payment matters.
- Liaise with building management on maintenance of office.
- Make travel arrangements for the team – visas, flights, hotels.
Qualifications
- Excellent organizational and time management skills
- Strong written and verbal communication abilities
- Proficiency in Microsoft Office Suite
- Previous experience in an administrative role
- Ability to handle sensitive information with confidentiality
- Detail-oriented and proactive approach to work
- Diploma or Bachelor's degree in Business Administration or related field
