Singapore Events (15% 6 hours/week)

• Business Events – lead cross functional team to deliver or support ad hoc events including management meetings, government visits, breakfast events with outside groups, visiting students, etc.
• Creates project plan and identifies team.
• Works in partnership with corporate affairs, RD&A, facilities, marketing, HR, etc as needed by the event.

• Facilitate car lease contracts for 4 leaders in partnership with Rewards, employee and Global Business Services team.
• Act as backfill for front desk receptionist when they are on leave.
• Understand Coupa processes for new suppliers, creation of purchase orders and vendor payment.
• Source, manage small quantity of in house merchandise for guests.

This role also supervises an office assistant who currently delivers the following work in a full-time role. (20% 8 hours/week)

Qualifications and skills

• Minimum 7 years’ experience in similar role supporting a senior leader. Experience in a regional/global leadership team and in a matrix organization. Previous supervisory experience required.

• Reviewing purchase invoices for proper documentation and obtaining approval
• Generating a monthly cost forecast payment report in advance, ensuring adequate funds in bank accounts.
• Processing three-way P.O. matching invoices
• Addressing vendor inquiries and reconciling supplier statements to resolve discrepancies.
• Assisting in month-end closing and quarterly GST filing, as well as monthly CPF preparation for employees.
• Updating purchase and payment records, conducting monthly bank reconciliations, and managing petty cash claim.
  

Requirement:

• Diploma in Accounting or relevant studies
• With at least 2 years of experience in Accounting/Engineering/Manufacturing industry is preferred

Our Client is a Japan MNC specialize in imaging and information technologies. Due to business needs, they are now recruiting a Accounts Executive (AP) to be part of their team for maternity cover. They are located in the Central and are easily accessible.

Responsibilities:

• Complete monthly closing tasks, use SAP for transactions, and create HQ reports.
• Reconcile vendor statements, manage inter-company balances, and update customer records.
• Handle tax-related duties, process withholding tax payments, and assign GST codes in invoices.
• Verify employee expense claims, ensure GST compliance with reimbursement policy via Concur.
• Post and process vendor invoices through Esker and SAP, ensuring timely payments.
• Review GST permits, reconcile with SAP or bank deductions.
• Prepare monthly and yearly audit schedules for internal and external audits.
• Perform other reasonable tasks as assigned by the supervisor.

Requirements:

• Minimum a Degree in Accountancy, equivalent or related fields, Diploma holders with extensive supervisory experience may also be considered.
• At least 2 years of Accounts Payable experience.
• Proficient in SAP FICO module and Microsoft applications (Excel, Word, PowerPoint presentation).
• Good working knowledge of IFRS & Singapore Tax Regulations.
