1. Assist in all clerical, administrative operation and document control activities.
2. Responsible for the quality review of all documents and forms to ensure they are kept according with the prescribed procedures.
3. Responsible for answering all incoming telephone calls and transfer calls to the appropriate persons. Ensure all messages are delivered immediately.
4. Arrange dispatch/courier and record all outgoing documents.
5. Monitor site attendance of site staff and visitors. The site attendance report must be submitted daily to HRD .
6. Compile and record all staff claims.
7. Maintain updated list of all hand phone numbers of all staff.
8. Manage and track assets as well as monitor usage of staff house at site.
9. Manage and track driver’s activities of company vehicles.
10. Ensure all licenses, road taxes and rentals are renewed timely.
11. Maintain photocopiers, printers and fax machines to make sure they are working at all times.
12. Ensure office is clean and well organized in all areas - office rack, store room, kitchen, pantry, washroom etc. by supervising the cleaners.
13. Monitor and remind all appointments and deadlines.
14. Any other duties and functions that may be assigned by the Company
