Job Description

• Manage the accounting documentations for the Regional Departments of Chief Regional Officer’s Office but not limited to, handling payment processing, expense calculation, preparing payment disbursements via the accounting system and record keeping of payment/receipt transactions.
• Provide administrative and logistics support such as arrangement of transportation, accommodation, restaurant or office meeting room booking etc. for Regional Departments’ internal and external business functions/events.

Job Summary:

The Bookkeeping and Administration Officer assists the Group Finance and Administration Manager in maintaining the organization’s financial records and performing key administrative functions. This dual role combines bookkeeping responsibilities—including financial transactions, invoicing, and account reconciliations—with administrative tasks that support daily office operations. This role requires strong organizational skills, attention to detail, and the ability to multitask effectively.

Key Responsibilities:

Bookkeeping Duties

Financial Recordkeeping

• Record day-to-day financial transactions and maintain accurate ledgers.
• Process accounts payable and receivable, ensuring timely payments and collections.

Invoicing and Billing

• Reconcile accounts and resolve any discrepancies by gathering and analyzing account information.

Bank Reconciliations

• Track, monitor, and prepare payments in each payment cycle
• Perform monthly bank reconciliations and maintain records of all transactions.

Payroll Support

• Assist in payroll processing, calculating hours, and managing deductions and reimbursements as needed.

Administration Duties

Office Management

• Oversee the management of office and pantry supplies, including tracking inventory and placing orders.
• Coordinate maintenance of office equipment and ensure a clean, organized workspace.
• Oversee the management and inventory tracking of marketing materials and collaterals

Scheduling and Coordination

• Organize meetings, appointments, and company events, ensuring effective time management and communication.

Document Management

• Coordinate and prepare for board meetings, including scheduling, creating agendas, and ensuring board materials are distributed in advance.

Qualifications:

Work Environment:

This role is primarily office-based and may require light physical activity, such as organizing files, managing office supplies, and marketing collaterals.

1. Undertakes in an autonomous manner, and, where required, under supervision, all functions associated with the administration of companies and entities of various types forming part of the core offer of the company in the area of wealth structuring entities (the “Entities”).
2. Ensures timely delivery of services throughout the lifecycle of these Entities, from establishment or incorporation to winding up or termination.
3. Guarantees that the requisite client documentation is readily available at all times and is in compliance with the provisions of client due diligence (“CDD”), as prescribed by law, directives and regulations, including, but not limited to, AML-CFT (Anti-Money Laundering/Combating the Financing of Terrorism) or in accordance with the CDD guidelines of the company.
4. Ensures that all legal and beneficial ownership charts are held on the basis of the latest available information.
5. Handles the preparation of submissions to the Client Acceptance Committee (“CAC”) and the Client Review Committee (“CRC”).
6. Engages in all upstream and downstream work in respect of the drafting of resolutions and minutes pertinent to the Entities.
7. Prepares all transactions to be consummated pursuant to requests, directions or instructions received from the clients of the company.
8. Participates actively in the opening of bank accounts and the handling of bank transactions.
9. Records transactions within the ambit of preparation of financial accounts for the Entities.
10. Completes documentation pertinent to investments of various types.
11. Monitors under guidance the investment portfolios.
12. Handles correspondence in an autonomous manner.
13. Liaises under supervision with external service providers.
14. Guarantees the integrity of the client database.
15. Ensures proper filing and record-keeping.
