Admin Operation

- Handles Sales Inquiry, promote our products to existing accounts & new customers (including interior designer firms, construction firms and end users) and service these accounts/customers

- Draft and proposed quotations to customers

- Issue quotation and Work Order.

- Follow up in a timely and professional manner with customers on all requests, concerns, or questions.

- Understand products knowledge and demonstrate to customers with extensive product information.

Role Description

This is a full-time on-site role located in Singapore. The candidate need to be detailed oriented and meticulous with his/her works. The role also involves working closely with the team - provide feedback when necessary, production, installation, deployment and photo report to support the team.

Summary

Ambulance Wish (Singapore) Ltd. is a registered charity with an Institution of Public Character (IPC) status. Incorporated in May 2019, our work supports terminally ill patients and their loved ones through the simple but deeply meaningful act of wish-granting. By helping to fulfil these wishes, Ambulance Wish Singapore wants to transform the end-of-life experience for patients with a limited prognosis of less than 12 months, giving them and their families a measure of joy, peace and comfort. As a volunteer-led organisation, the work of Ambulance Wish Singapore is an extension of the provision of care for the dying that goes beyond the walls of hospitals and hospices, to impact homes and hearts. Ambulance Wish Singapore strives to fulfil wishes and celebrate lives.

This will be a full-time position, reporting to the Executive Director (ED), and will play a key role in supporting Ambulance Wish Singapore’s finance, governance and administrative functions.

Key Responsibilities

1. Finance

• Responsible for all accounting and financial functions of the organisation, including financial reporting, budgeting, and financial processes
• Provide input to the management on all business matters that impact revenue and expenses
• Continuously identify and implement process improvements to reduce costs throughout the organisation
• Manage all assets of the company including receivables, inventory, property, and leasehold improvements to maximize return on investment
• Manage interactions with external stakeholders, e.g. company’s banking personnel, auditors and consultants
• Direct documentation of accounting controls, policies and procedures, including implementation after approval
• Direct all activities to ensure compliance with charity code of governance, applicable regulatory laws and rules for financial reporting
• Liaise with Chairman, Treasurer, and ED on finance presentations to the Board and the Annual General Meeting

2. General Administration

• Coordinate and administer the overall policies and procedures in the office
• Monitor and ensure insurance plans are in place and reviewed and renewed periodically
• Direct all activities, PDPA and other regulations, to ensure compliance with charity code of governance, applicable regulatory laws and rules for corporation, and charitable filings
• Coordinate with company secretary to ensure compliance with the corporate compliance matters, including but not limited to AGM, annual return, Form 45, company resolution etc.
• Provide secretariat support to AWS subcommittees
• Support the ED as needed

3. Human Resources

• Assist the ED with the reviewing and creating of human resource policies and procedures and ensuring they are updated and included in the HR policies
• Support department heads to develop and advertise recruitment posts
• Coordinate on-boarding session with other departments and track on-boarding checklist
• Develop and maintain employee P-file (personnel/records maintenance, benefits/records)
• Ensure the conducting of exit interviews
• Oversee of personnel administration matters such as employee payroll, leave and claims
• Assist department heads in identifying employee training needs and handle administrative matters of the trainings including recommendation of training courses and training providers
• Ensure the smooth running of the performance management process

Requirements

Finance or Accounting degree from an accredited tertiary institution, or comparable qualification.

At least 5 years in a finance and administrative role, with a successful track record.

Experience of managing staff and associated employment issues.

Experience in the charity sector.

Results-driven team player, with experience working with a high degree of independence in time-sensitive environment.

RESPONSIBILITIES

You will be part of the Community Health Department, providing administrative and logistical support to our Service Points that provide day care and dementia day care services for seniors requiring personal care while their family/caregivers are at work or needing rest.

Facilities & Operations:

Support Centre Supervisor and Admin Manager in efficient and smooth running of the Service Points:

• Ensure upkeep and cleanliness of facilities, liaising with vendors on maintenance matters.
• Upkeep of first aid supplies and fire-fighting equipment. Ensure reception and meeting rooms readiness at start and end of the day.
• Assist workplace safety exercises e.g. fire drills in accordance with safety guidelines and regulations.
• Update all operational files and schedules.

Programme Support & Administration:

Support relevant Programme Supervisors with backend programme administration and coordination:

• Perform data entry, ensure that all clients' records are appropriately kept.
• Upkeep of relevant databases within the Service Points, including the use of shared IT platforms for centralized depository of documents.
• Support in collation of data and statistics for reporting and publication.
• Help ensure personal data protection measures in placed and carried out in daily operations.
• Assist in customer satisfaction survey report for all clients upon discharge.
• Assist in volunteer management matters, outreach and publicity events when necessary.

Procurement & Finance

• Manage payment including cash collection and issuing of receipts. Liaise with clients or their families on prompt payment of services.
• Manage procurement and replenishment of Service Points' required consumables, stationery and supplies. Coordinate with HQ-IT department, vendors for IT devices where needed.
• Administer accounts payable and receivables, tracking and month-end reconciliations on programme expenses
• Support in administering sponsorships and donations, including liaising with external partners where needed and proper records keeping for audit. Assist in-kind collection and distribution, working closely with HQ and Admin Manager to ensure smooth execution.
• Ensure fixed assets tally with records for audit purpose.

Front Desk & Secretariat Support:

• Manage front desk duties such as attending to calls and walk-in enquiries, sort mail and handle documents for dispatch. Provide logistics support in areas such as room-booking, prepare beverages, setup laptop, projector etc.
• Responsible for word processing, and updating of all materials for proposals, reports, letters, forms, brochures etc. for file and documentation. Writing minutes of meetings.

HR:

• Involvement in Internship recruitment activities, liaise with ITEs and Polytechnics, provide support to Centre Supervisor on internship matters.
• Provide support in on-boarding and off-boarding of staff, interns where needed.
• Assist in the administration and tracking of training applications and plans of the staff in the Service Points, working closely with the HR department.
• Coordinate staff participation for Service Point/Group/Organizational events and meetings, distribute corporate collaterals.

Min. Diploma holder

Requirements

• At least 2 to 3 years of related administrative experience
• Proficient in MS office (Word, Excel, PowerPoint)
• A team player and also able to work independently
• Good communication and interpersonal skills
• Able to multi-task and work efficiently,
• Self-motivated, organised and problem-solving.
